Key Responsibilities:

  • Utilize the Greenway system and manual paper methods to schedule procedures.
  • Coordinate surgery dates with patients effectively.
  • Document procedure codes and ICD-10 codes, and communicate tasks to the pre-certification department.
  • Follow up to confirm that pre-certifications and benefits have been verified and payments collected.
  • Input orders into the hospital server for surgeries, including any special instructions required for scheduling in the electronic medical record.
  • Obtain necessary medical clearances for surgeries when required.
  • Collaborate with vendor representatives to ensure all essential equipment is available for both office and hospital-based procedures.
  • Ensure accurate documentation of diagnoses, CPT, ICD-10, and billing codes for each patient visit and medical procedure performed.
  • Provide patients with clear and detailed information regarding test preparations, arrival times, and any other necessary directions; respond appropriately to patient inquiries.
  • Schedule follow-up appointments at the time of procedure scheduling.
  • Answer phone calls in a professional and courteous manner.
  • Adhere to established procedures for scheduling all types of procedures or referrals, including surgical, MRI, or PT/OT.
  • Secure all benefits and pre-certifications for specialty injections prior to patient appointments.
  • Coordinate DME prescriptions and applications for patients, including obtaining necessary authorizations and payments or referring to the DME Coordinator.
  • Work closely with the clinic Physician Assistant to ensure optimal patient care.
  • Review charges on a daily basis.
  • Confirm that clinic notes are transmitted as required.
  • Maintain an organized flow within the clinic.

Qualifications & Skills:

  • High School diploma or equivalent is required.
  • Preferred: Two years of leadership experience.
  • One year of relevant experience and/or training, or a combination of education and experience.
  • Ability to work independently.
  • Exceptional organizational skills.
  • Capability to manage multiple tasks simultaneously.
  • Ability to read and interpret documents such as safety rules, operating instructions, and procedure manuals.
  • Proficient in writing routine reports and correspondence.
  • Ability to follow instructions provided in written, oral, or diagram form.
  • Competence in addressing problems involving several concrete variables in standardized situations.
