Position Overview:
Are you the next Corporate Events Coordinator? Globe Life is seeking a skilled Corporate Events Coordinator to join our team.
In this position, you will oversee and execute incentive trips, corporate meetings, and training academies. Outstanding interpersonal skills and adaptability in a dynamic environment are essential for success. The corporate events coordinator must be prepared to travel frequently to assist senior management in executing large-scale events both domestically and internationally. This role will also involve the sourcing, planning, and execution of small to mid-sized events from inception to completion, acting as the primary event owner for specific meetings without reliance on senior staff.
This is a hybrid role based in McKinney, TX (remote work on designated days).
Key Responsibilities:
- Develop project timelines and establish a workflow schedule with suppliers to ensure timely and accurate handling of all program details.
- Utilize event management software to oversee the program from contract initiation to final billing.
- Manage and negotiate additional hotel requirements, destination management services, air travel, and all third-party contracts.
- Monitor attrition dates, cancellation policies, and ensure that contracted services are fulfilled.
- Facilitate communication between Marketing and meeting owners regarding registration and application requirements for assigned programs.
- Coordinate and participate in site inspections as necessary.
- Compile all program details and create a comprehensive itinerary that outlines all specifics and requirements.
- Conduct program debriefs with meeting owners as needed.
- Collaborate with accounting to finalize billing and review invoices prior to reconciliation.
- Maintain accurate records, system entries, and complete file management for all meeting folders.
- Assess program impact and reevaluate objectives and outcomes to plan for continuous improvement.
- Work with designated teams to communicate registration and travel needs, status updates, and maintain ongoing communication throughout the program.
- Assist with events of varying complexity, including those requiring high confidentiality and international scope.
- Oversee the overall program budget, review and audit all related billing for accuracy, and report expenses to senior management.
- Maintain proactive and positive communication with clients to ensure understanding of expectations and satisfaction.
- Collaborate with third-party suppliers to arrange their services.
- Build strong relationships with multiple contacts within the company and supplier organizations.
- Ensure accurate meeting forecasting.
- Oversee onsite execution and ownership of meetings.
Qualifications:
- Bachelor's Degree or equivalent experience.
- Certification in Meeting Planning (CMP) is a plus.
- Prior experience in event planning is advantageous.
- Experience in onsite meeting execution.
- Familiarity with the RFP process.
- Skills in contract negotiation.
- Knowledge of transportation management.
- Experience with event registration.
- Proficiency in event management software.
- Experience in menu planning and budgeting.
- Detail-oriented with strong analytical skills.
- Intermediate proficiency in Microsoft Word and Excel.
- Ability to travel as required.
- Strong project management skills.
- Self-starter with the ability to multitask and meet deadlines.
