Position: Senior Hospitality Coordinator

Compensation: $25 per hour

Work Schedule: Monday - Friday

Primary Responsibilities:

  • Account Management (10%)
  • Generate daily setup reports, prepare weekly event documentation, and compile room usage statistics.
  • Gather and oversee information related to IT, Facilities, Meeting Support, and Catering for events.
  • Workplace Experience (WPX) - Daily Operations (25%)
  • Conduct regular floor inspections to ensure the environment is in optimal condition.
  • Promptly address inquiries, concerns, and suggestions, ensuring follow-up for quality assurance.
  • Welcome all guests with the highest level of courtesy, stepping out from behind the front desk to open doors.
  • Assist guests and visitors in securing workspaces, confirming room availability, and reclaiming unused meeting areas.
  • Collaborate with the maintenance team to resolve issues such as furniture stains, damaged carpets, or lighting concerns.
  • Workplace Experience (WPX) - Value Addition (10%)
  • Provide a memorable customer experience with exceptional responsiveness.
  • Arrange, recommend, and confirm services such as gift purchases, premium tickets, dry cleaning, and other errands.
  • Act as a brand advocate and ambassador in every interaction with clients and guests.
  • Meeting Support (10%)
  • Consult with clients daily before their meetings to ensure all needs are met.
  • Offer real-time assistance for meetings, including verifying room requirements and coordinating with organizers.
  • Monitor meeting rooms for participant arrivals, ensuring rooms are prepared and utilized effectively.
  • Coordinate catering and meeting needs with Executive Assistants and the Centralized Space Management Team.
  • Reception Support (15%)
  • Respond to inquiries from visitors or employees and maintain visitor logs in the building system.
  • Coordinate with the lobby desk for seamless visitor entry.
  • Answer and direct phone calls, assist with urgent requests, and log guests, issuing identification badges to ensure security.
  • Communication (5%)
  • Serve as a communication link to the Manager and follow up with clients to ensure task completion.
  • Team Leadership (5%)
  • Lead a team, providing guidance, accountability, and ownership of tasks and responsibilities.
  • Training (5%)
  • Engage in training programs to stay informed on best practices and new technologies.

Qualifications:

  • High school diploma or equivalent; college degree preferred.
  • 2-3 years of experience in the hospitality sector.
  • Proficiency in Microsoft Office applications.
  • Ability to comprehend client inquiries and provide effective responses.
  • Team-oriented with a positive attitude, capable of motivating colleagues and building relationships.
  • Ability to maintain confidentiality and security of client information.
