Role Summary
The Events Specialist will operate from Abbott's facilities, focusing on the Neuromodulation Division. This division specializes in innovative implantable devices that integrate with mobile technology, aimed at assisting individuals suffering from chronic pain and movement disorders. Please note that this position does not offer options for hybrid or remote work.
Key Responsibilities
The Events Specialist will take charge of planning, executing, and reconciling conferences for the Neuromodulation division, with a strong emphasis on logistical and operational aspects, including:
- Collaborating with major societies to explore sponsorship opportunities.
- Developing and monitoring a budget tracker in alignment with internal stakeholders.
- Conducting regular planning meetings with cross-functional teams (e.g., marketing, communications, clinical).
- Overseeing pre-event preparations, ensuring timely completion of all activities.
- Creating a registration platform for attendees using CVENT software.
- Managing in-person event setups, including seating arrangements and product displays.
- Coordinating the shipment of marketing materials and products for events.
- Reconciling monthly corporate expenses, ensuring all documentation is accurate.
- Ensuring representation of all stakeholders throughout the convention and exhibit processes.
- Managing logistics for conventions, including booth requirements and communication with vendors.
- Leading team meetings to ensure all action items are completed on schedule.
- Maintaining strong partnerships with exhibit houses and vendors for effective planning.
- Providing post-event evaluations and reports to assess the success of events.
- Ensuring compliance with all relevant guidelines and regulations.
- Preparing budgets and schedules for conventions, monitoring expenses to stay within budget.
- Supporting all company initiatives as directed by management.
- Engaging in travel as required, estimated at 30% (domestic and international).
Qualifications
- Bachelor's degree in a relevant field such as Hospitality, Marketing, or Communications.
- A minimum of 3 years of experience in managing exhibit vendors and contractors.
- Proven track record of delivering impactful exhibit experiences.
- Strong project management skills with a focus on customer service.
- Experience managing budgets across multiple vendors and cost centers.
- Familiarity with global brands and teams.
- Proficient in personal computer applications, including spreadsheets and database management.
- Experience with lead management tools and mobile applications.
- A proactive and adaptable approach, particularly in the healthcare sector.
- Ability to navigate a complex and diverse business environment.
- Preferred certifications in Meeting Planning or Project Management.
- Familiarity with software such as CVENT and Microsoft Office Suite.
