GENERAL OVERVIEW
This position involves performing essential quality assurance tasks at a journey-level. The role encompasses overseeing internal quality assurance and compliance across various databases, ensuring adherence to state and federal regulations. Responsibilities include verifying the accuracy, completeness, and legitimacy of legal documents submitted by law enforcement and judicial bodies. The role may also involve training others and operates under moderate supervision, allowing for some initiative and independent judgment.
KEY RESPONSIBILITIES:
- Review and assess applicant submissions and criminal history records, identifying deficiencies and ensuring compliance with service delivery standards, program requirements, and established policies.
- Conduct quality control evaluations on applicant submissions, criminal history records, and legal documents to ensure accuracy and completeness in line with state and federal regulations.
- Communicate final decisions regarding applicant submissions and criminal history assessments to relevant local, state, and federal agencies, as well as the public.
- Interpret and disseminate information pertaining to internal rules, policies, regulations, and procedures.
- Assist in the development and implementation of quality assurance policies, procedures, and standards.
- Analyze quality control error findings to identify trends and patterns.
- Maintain regular attendance and adhere to approved work hours in accordance with agency policies.
- Perform additional duties as assigned.
QUALIFICATIONS AND REQUIREMENTS:
Education: A high school diploma or equivalent is required. A degree from an accredited four-year college or university with a focus on criminal justice or a related field is preferred.
Experience: A minimum of three (3) years of experience in criminal history records, auditing, compliance, or quality assurance roles is required.
Licensure and Certification: Candidates must obtain TLETS/NLETS and TCIC/NCIC Basic Procedures Certification through a TXDPS training course within six months of employment. A valid driver’s license from the state of residence is required if driving is applicable to the position.
Knowledge of Regulations: A working knowledge of TXDPS, state, and federal regulations, legislation, guidelines, policies, and procedures related to the maintenance, processing, retention, confidentiality, and dissemination of criminal records in the CCH database is essential.
Interpersonal Skills: The ability to demonstrate poise, tact, and diplomacy while establishing and maintaining positive professional relationships with internal and external stakeholders is crucial.
Organizational Skills: Candidates must be organized, adaptable, and capable of effectively prioritizing tasks in a dynamic environment, meeting multiple and sometimes conflicting deadlines without compromising accuracy or professionalism.
Communication Skills: Strong skills in constructing and delivering clear, concise, and professional presentations and reports for diverse audiences are necessary.
Research and Analytical Skills: The ability to efficiently access relevant information and present research findings in a clear manner is required.
Attention to Detail: Candidates must possess strong analytical reasoning skills, with the ability to examine data, identify trends, and draw accurate conclusions.
Technology Proficiency: Proficiency with CJIS systems, TCIC/NCIC databases, and Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) is required, along with the ability to learn new software systems.
Confidentiality: Candidates must demonstrate the ability to handle sensitive and confidential information responsibly and adhere to applicable laws and policies.
Physical and Environmental Demands:
The demands of this position may include working in an office environment, performing tasks that require ambulatory skills, hand-eye coordination, and the ability to lift weights of up to 25 pounds.
