Job Summary

We are seeking an exceptional Administrative Support Assistant III to join our team at Capital One. As a key member of our administrative team, you will provide high-level administrative support to 4-6 executives, ensuring seamless day-to-day operations and enabling them to focus on strategic initiatives.

Key Responsibilities
  • Manage complex calendars, prioritize tasks, and adjust schedules as needed to ensure optimal productivity.
  • Coordinate travel arrangements, create expense reports, and disseminate information using Capital One systems.
  • Arrange conference rooms, catering, audio/video, and other essential services for meetings and conferences.
  • Drive key team activities, events, and projects, including all-hands meetings, team meetings, conferences, and social events.
  • Prepare professional business communication documents, including memos, letters, and emails.
  • Build and maintain strong relationships with executives and administrative staff across the organization.
  • Participate in general administrative duties, such as copying, distributing mail, and ad-hoc projects.
  • Promote a fun and team-oriented work environment.
Requirements
  • High School Diploma, GED, or equivalent certification.
  • At least 2 years of administrative experience.
  • At least 2 years of experience in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint) or Google Suite.
Preferred Qualifications
  • Associates Degree.
  • At least 5+ years of experience as an Executive Assistant or Administrative Assistant in a fast-paced environment.
  • At least 3+ years of calendar management supporting multiple executives.
  • At least 1+ year of meeting and event planning experience.
  • Experience setting up video conference and Zoom/Skype technology for meeting users.
  • Excellent written and verbal communication skills.
  • Excellent organizational skills.
