At Reeves Construction Company, we are seeking a highly organized and detail-oriented Administrative Support Specialist to join our team. This role is responsible for providing exceptional support to our staff and ensuring the smooth operation of our front desk.

Main Responsibilities:

  • Greet and assist visitors, applicants, deliveries, salesmen, and customers at the front desk.
  • Manage phone calls, directing inquiries and messages as appropriate.
  • Book hotels for employees traveling on business.
  • Set up iPhones and iPads for employee use.
  • Order and maintain inventory of employee uniforms.
  • Receive and distribute plant packages and open incoming mail.
  • Prepare and clean up for office events, including Family Fun Day, Customer Appreciation BBQ, Fair, Christmas Luncheon, etc.
  • Handle FedEx and certified mailings.
  • Manage and distribute company tickets for events.
  • Call for repair, maintenance, and cleaning services for the office and ensure contracts are renewed.
  • Scan accounts payable invoices to the AP mailbox.
  • File and purge accounts payable documents every three months.
  • Notarize documents as required.
  • Order, pick up, and stock office supplies.
  • Collect lien waivers and process deposits.

Requirements:

  • Associate's degree or currently pursuing a degree in Business Administration, Accounting, or a related field is preferred.
  • Strong organizational skills and attention to detail.
  • Excellent verbal and written communication skills.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to multitask and prioritize tasks effectively.
  • Strong interpersonal skills to interact with employees and clients.
  • Previous experience in an administrative role is a plus.
  • Basic knowledge of accounting principles is advantageous but not required.
  • Must be reliable, punctual, and able to work independently.

This is a full-time position with an estimated salary range of $45,000 - $60,000 per year, depending on experience. We offer a competitive benefits package, including health insurance, retirement plan, and paid time off.
