As the main liaison for scheduling and permits, you will be essential in ensuring the efficient and timely execution of projects while complying with all relevant regulations and standards.

This role is dynamic and highly focused on achieving goals, managing various projects across different markets simultaneously.

Responsibilities:

Scheduling Oversight:

  • Create and sustain detailed project timelines, outlining phases of the renovation process.
  • Collaborate with subcontractors, suppliers, and internal teams to guarantee timely task completion in line with the project timeline.
  • Anticipate and proactively resolve scheduling conflicts or delays to minimize disruptions to the project.

Permit Acquisition:

  • Investigate and comprehend local building regulations, codes, and permit requirements for renovation projects.
  • Prepare and submit permit applications, ensuring all necessary documentation is accurate and complete.
  • Liaise with local authorities and regulatory bodies to secure permits efficiently and address any issues or inquiries that may arise.

Communication and Teamwork:

  • Act as the primary contact for project scheduling and permit-related inquiries, both internally and externally.
  • Work closely with project managers, contractors, and clients to share scheduling updates, permit statuses, and any changes to the project plan.
  • Organize regular meetings or check-ins to review project timelines, address concerns, and ensure alignment among all stakeholders.

Documentation and Record Maintenance:

  • Keep thorough records of project schedules, permits, and related documentation, ensuring accuracy and accessibility for future reference.
  • Track and document any changes or updates to the project schedule, permits, or regulatory requirements throughout the project lifecycle.
  • Generate reports or summaries as needed to provide insights into project progress, scheduling efficiency, and permit compliance.

Qualifications:

  • Strong understanding of local building codes, regulations, and permit requirements.
  • Excellent organizational abilities with the capacity to manage multiple projects simultaneously.
  • Exceptional attention to detail and accuracy in documentation and record-keeping.
  • Effective communication skills, both written and verbal, with the ability to collaborate and negotiate with various parties.
  • Proficiency in CRM systems and scheduling tools, such as Salesforce (Improveit360).
  • Must be proficient in Microsoft Office 365 (Outlook, Word, Excel).
  • Problem-solving skills and a proactive approach to addressing scheduling conflicts or permit issues.
  • Flexibility and adaptability to respond to changing project priorities or requirements.

Education and Experience:

  • Proven experience in project coordination, scheduling, or permit management within the construction or renovation sector.
  • Strong typing skills necessary 35+ WPM.
  • Bilingual in English and Spanish is a plus but not required.
