Position Overview:

The Healthcare Patient Coordinator is essential in delivering exceptional patient service and enhancing communication with clients through various channels. This role involves supporting all facets of patient interaction, including appointment scheduling, check-in/out processes, and maintaining accurate patient records. The ideal candidate will exhibit a high degree of energy, confidence, and professionalism. As a vital member of the front office team, this position guarantees superior patient experiences by being organized, courteous, and detail-oriented. The candidate will collaborate with Physicians, Physician Assistants, and Aestheticians to ensure seamless patient care. Previous experience in a medical or wellness environment is highly regarded.

Key Responsibilities:
  • Manage incoming calls and schedule patient appointments
  • Respond to all incoming communications promptly
  • Coordinate scheduling for specialized procedures
  • Assess provider qualifications and convert inquiries into consultations
  • Organize and document all incoming patient leads
  • Utilize the practice's EMR system to manage patient information
  • Process patient transactions through the POS system
  • Scan and maintain patient documentation
  • Update patient demographics during check-in
  • Facilitate product shipments to patients
  • Maintain knowledge of all treatments and products offered
  • Oversee office opening and closing procedures, including financial balancing
  • Educate patients on skincare products
  • Collect co-pays and outstanding balances during visits
  • Manage loyalty program points
  • Prepare daily operational paperwork
  • Communicate professionally with all stakeholders
  • Adhere to privacy regulations
  • Monitor and manage product inventory
  • Update patient contact information in the database
  • Perform additional tasks as assigned by management
Qualifications:

High School diploma with a minimum of 5 years of experience in a retail or front office setting.

Prior experience in a medical office or wellness center is preferred.

Skills and Requirements:

Proficient in Office 365 applications, including Word and Excel

Familiarity with EMR and POS systems

Excellent organizational abilities

Commitment to attending all relevant meetings and events

Ability to work collaboratively in a team setting

Customer service-oriented mindset

Detail-oriented approach

Capacity to handle multiple tasks simultaneously

Reliable and punctual.
