Objective of the Role:

The Construction Project Coordinator is tasked with overseeing the successful execution of construction projects from inception to completion. This role ensures the safe and efficient delivery of projects within financial constraints and timelines, adhering to Rabren General Contractors' established standards while maximizing profitability and client satisfaction. The Coordinator will engage collaboratively with both internal and external teams to manage various project elements effectively.

Key Responsibilities:

Relationship Management & Best Practices:

  • Formulate a comprehensive project business strategy.
  • Act as the primary liaison for the client, architects, and engineers, fostering robust and enduring partnerships.
  • Collaborate with project managers, assistant project managers, site supervisors, and subcontractors to ensure project success.
  • Devise methods to guarantee that each project meets or surpasses client expectations regarding satisfaction, profitability, timelines, and safety protocols.
  • Provide guidance to ensure all facets of the assigned construction project align with Rabren General Contractors' best practices.
  • Hold team members accountable for adherence to established best practices.
  • Familiarize oneself with and oversee all pre-construction and field operation best practices, alerting senior management if discrepancies arise.
  • Establish a site-specific quality assurance and quality control plan; appoint a quality control manager and inspector to monitor compliance.
  • Oversee project initiation, including securing necessary permits and managing site mobilization.
  • Contribute to design assistance during preconstruction and throughout the project lifecycle as required.
  • Ensure the right personnel are assigned to appropriate tasks, aligning their skills and experience with project needs to promote profitable outcomes.
  • Facilitate the procurement process by managing all subcontract agreements and material orders, ensuring comprehensive scopes of work are secured.
  • Assist in the development and management of subcontract agreements, ensuring compliance documentation is obtained prior to work commencement.
  • Monitor subcontractor change requests, billing, approvals, and correspondence accurately and promptly.
  • Provide timely and precise project updates to the Project Executive to keep them informed throughout the project duration.
  • Disseminate and coordinate project plans, specifications, and policies, ensuring compliance with contractual obligations.
  • Participate in client meetings to ensure that project execution aligns with client needs and expectations.
  • Communicate specific quality and operational objectives with clients and the project team.
  • Collaborate with field management to identify and implement all contractual deliverables, including quality testing and reporting requirements.
  • Establish and maintain budgetary controls to effectively monitor project progress and financial performance.
  • Prepare and submit monthly financial requests in accordance with contract stipulations while achieving revenue targets.
  • Oversee project closeout documentation and procedures within established deadlines.
  • Manage all legal matters associated with the designated project.
  • Mentor and guide assistant project managers and interns to understand key success factors.
  • Seek opportunities for new business and nurture relationships with existing clients to support organizational growth.

Project Scheduling:

  • Assist the site supervisor in developing and adhering to pre-construction schedules and milestones.
  • Support the site supervisor in planning and updating the overall project schedule.
  • Facilitate job schedule meetings with project supervisors.
  • Process and manage all project documentation, ensuring timely tracking to meet project schedules.
  • Deliver accurate weekly and monthly schedule updates to clients and project executives.

Reporting & Documentation:

  • Lead project progress meetings and generate timely monthly status reports.
  • Manage bi-weekly project manager meetings to review documentation and project progress.
  • Prepare and submit internal monthly status reports and financial projections, ensuring accuracy in coding and invoice processing.
  • Review all construction contracts and manage client agreements, identifying and mitigating contractual risks.
  • Coordinate project reports and drawing reviews for clients throughout all project phases.
  • Review labor reports, safety documentation, and schedules on a monthly basis.
  • Ensure compliance with all reporting requirements within the project team.

Safety Management:

  • Evaluate the safety training program and procedures for the project, ensuring effective implementation.
  • Ensure the safety team meets regularly to provide feedback for continuous improvement.
  • Work with field operations to maintain a clean and organized job site.

Physical Requirements:

  • Ability to work outdoors on construction sites.
  • Capable of lifting and moving up to 50 lbs.
  • Ability to perform physical activities associated with construction work.
  • Ability to navigate construction work areas.

Qualifications:

  • Bachelor's Degree in Construction Management, Civil Engineering, or a related field.
  • 5-10 years of experience in commercial construction management.
  • Proven track record of managing construction projects with quality and profitability.
  • Demonstrated ability to manage multiple teams and tasks effectively.
  • Experience with construction management processes and financial practices.
  • Proficiency in construction management software and Microsoft Office.
  • Valid Driver's License.
  • Strong results-driven mindset with a focus on improvement and teamwork.

Preferred Qualifications:

  • LEED AP and/or Certified Construction Manager (CCM) certifications.
  • OSHA 30 certification.
  • Experience with BIM Modeling and Design Assist.

Supervisory Responsibilities:

  • Supervise assistant project managers and interns.
  • Ensure adherence to company policies in supervisory activities.
  • Work with direct reports to set goals and development plans.

Work Environment:

This role involves working in both office and construction site settings.

Position Type:

This is a full-time position with standard working hours, requiring flexibility for evening and weekend work as needed.

Travel Requirements:

Travel to various job sites and company offices is necessary.
