Leave Specialist

Position Summary / Career Interest:


Oversees the administrative functions related to employee leave requests, collaborating closely with various stakeholders including the Leave Team, Payroll, external leave vendors, leave coders, and the HR Support Center. This role involves auditing and updating systems such as Kronos and Workday to ensure accurate representation of employee hours, leave statuses, compensation, and benefits.

Key Responsibilities:

  • Administers both paid and unpaid leave programs efficiently.
  • Responds promptly and accurately to inquiries regarding leave and compensation from employees and management.
  • Collaborates with the Leave Team, leave vendors, managers, Payroll, and HR Support Center to ensure accurate tracking of employee statuses and leave records.
  • Maintains and audits Workday to reflect the current status of employees on leave or those who have applied for leave.
  • Reviews timekeeping records in Kronos for employees on leave to verify pay, disability benefits, and leave status in accordance with applicable policies.
  • Manages communication through the Leave & Disability inboxes, triaging requests and escalating to Leave Consultants when necessary.
  • Generates and oversees reporting metrics and analytics for leave claims on a monthly basis, providing regular updates to the Leave Team and Payroll.
  • Supports the Leave Team in finalizing and distributing accommodation and leave requests, tracking client groups, and reallocating tasks as needed.
  • Facilitates the integration of leave programs and policies, serving as the primary contact for application programming interface (API) matters during mergers or transitions.
  • Keeps comprehensive records of leave-related events, including personnel changes and benefit communications.
  • Assists in managing and evaluating leave vendors, identifying areas for improvement and addressing performance issues.
  • Upholds the confidentiality of sensitive information, including protected health information, in compliance with organizational policies and training.
  • Demonstrates the professional, clinical, and technical competencies required for the assigned department.

Required Education and Experience:

  • Bachelor's Degree in a relevant field from an accredited institution or two years of equivalent experience in human resources, benefits, or leave and disability management.
  • High School Diploma.
  • A minimum of two years of experience in managing or administering leave and disability programs, or human resources compliance with laws and payroll requirements.
Preferred Education and Experience:

  • Five or more years of experience in managing leave and disability programs.
Preferred Licensure and Certification:

  • PHR, SPH, SHRM-CP, or SHRM-SCP certification.
Knowledge Requirements:

  • Understanding of legal and compliance standards for managing leave and disability programs.
  • Ability to work independently in a dynamic environment with shifting priorities.
  • Strong problem-solving, time management, and prioritization skills.
  • Excellent written and verbal communication abilities.
  • Proficiency in Microsoft Office, Windows, and Excel.
