We are seeking a highly organized and detail-oriented Development Coordinator to join our Corporate and Foundation Relations team at the Oklahoma State University Foundation. The successful candidate will provide administrative support to the team, focusing on managing financial processes, donor engagement, and grant applications.
Key Responsibilities- Perform administrative tasks for the department, including filing expense and reimbursement reports, tracking new gift agreements, and scheduling meetings.
- Process fund transfers and prepare gift distribution reports.
- Complete and submit gift deposit forms, as well as gift-in-kind forms when needed.
- Track unit funding priorities across the OSU system.
- Assist with travel arrangements, including rental car bookings.
- Maintain confidential donor documents and information in the OSU Foundation's donor database and archive systems.
- Prepare, enter, and update Ascend contact reports, action items, and proposals for development officers.
- Analyze data to support fiscal and fundraising objectives and drive continuous improvement.
- Provide administrative support for grant applications by tracking deadlines, submissions, and reporting requirements.
- Support corporate, foundation, and tribal engagement activities, including assistance with comprehensive campus visits.
- Assist in coordinating donor engagement efforts by preparing mini-impact reports, thank-you cards, gifts, and donor recognition materials.
- Handle general office support tasks, such as ordering supplies, organizing shared workspaces, and maintaining office equipment.
- Collaborate with administrative support staff across the OSU Foundation to ensure seamless coordination and effective communication between departments.
- Serve as a liaison between the CFR team and other OSU Foundation departments to coordinate activities as needed.
- Prepare for internal meetings by providing development officer summaries and other materials for monthly 1:1 meetings with development officers.
- Review and discuss the team budget on a monthly basis.
- Collaborate with the AVP to prepare and draft meeting agendas for CFR team meetings and for the AVP's meetings with internal or campus leadership, including preparation for those meetings.
- High school graduation is required; bachelor's degree is preferred.
- A minimum of three years of full-time administrative work is preferred; previous work experience involving administrative tasks supporting other staff is required.
- Excellent oral and written communication skills are essential with particular attention to proper use of the English language, spelling, and grammar.
- Experience with databases and spreadsheets is required, as is skills with word processing software; systems used within the Foundation include the MS Office suite (especially Word and Excel); in addition, the Foundation uses The Ascend software for alumni and donor records.
- Experience in completing detailed work, meeting tight deadlines, solving problems and managing concurrent tasks in a complex environment is essential.
- Excellent customer-service, adaptability, flexibility and a sense of humor are essential.
