Logistics Coordinator

Position Summary: This role is designed as a hybrid position, requiring a minimum of two days in the office.
Located in London, the individual will be integral to the European Project Management Office.
The primary focus of this role is on scheduling, resource allocation, and providing essential support to project teams and their processes. Responsibilities encompass daily workshop logistics, advocating for workshop-related processes, and generating reports. Specific duties include, but are not limited to:
Project Responsibilities- Establishing project entries in our internal system, which includes the addition and approval of contractor expenses (creating project details and facilitating the release of client invoices).
- Coordinating schedules and resources (delivery, feedback sessions, role plays, coaching, producers, etc.), including managing cancellations and rescheduling.
- Arranging preparation calls with facilitators.
- Overseeing master calendars (project timelines, virtual classrooms, etc.).
- Managing all local workshop logistics, including material orders, coordination with client representatives, and invitations to virtual sessions.
- Updating client schedule trackers to ensure accuracy.
- Ensuring prompt handling and submission of all post-workshop activities (evaluations, certification lists, expense reports, shipping materials to clients, etc.).
- Providing support for Assessment Centres.
- Participating in various team projects as needed.
Technical Skills:
- Proven ability to manage multiple tasks and priorities effectively.
- Proficient in IT, particularly with Microsoft Office Suite (training will be provided for specialized platforms).
- Exceptional customer service skills and orientation.
- Strong organizational and planning abilities.
- Proficiency in English is required.
