Senior Administrative Coordinator

We are seeking a skilled Senior Administrative Coordinator to provide essential support within our esteemed law firm. The ideal candidate will benefit from a dedicated office space and will be part of a comprehensive benefits program, which includes employer-sponsored health insurance, substantial retirement contributions, and competitive paid time off.
Reporting directly to the Chief Operating Officer (COO), this role involves delivering confidential administrative assistance to the COO, Board of Directors, management team, and various community advisory groups. The position encompasses a broad range of responsibilities that require a high level of complexity and discretion, as well as the ability to develop and implement administrative policies and procedures.
Key Responsibilities:
- Deliver confidential administrative support to the COO, Board of Directors, and agency personnel.
- Oversee the daily operations of the CEO to ensure adherence to legal standards and organizational policies.
- Manage scheduling for business meetings involving the CEO and Board of Directors, including the preparation of meeting agendas.
- Act as a scribe during executive leadership meetings.
- Handle incoming calls and welcome visitors to the COO's office.
- Draft correspondence that does not require direct input from the COO.
- Facilitate communication with Board members, staff, and community partners.
- Assist in organizing community events, including annual gatherings.
- Perform additional related tasks as assigned.
Qualifications:
· A minimum of five years of experience in a high-level administrative support role, particularly with C-suite executives.
· Experience in a public sector environment is preferred.
· Proficiency in Microsoft Office Suite (Word, Outlook, Excel, PowerPoint, Publisher) and familiarity with database and graphic design software is essential.
· Strong time management and organizational skills.
· A proactive and resourceful attitude.
· Excellent verbal and written communication abilities, along with strong interpersonal skills.
· Attention to detail and the ability to manage multiple tasks effectively.
· Ability to thrive in a fast-paced work environment.
· Comfort in engaging with high-level executives.
· An energetic approach to new projects and initiatives.
