Position Overview

The Client Relations Specialist will collaborate closely with sales, operations, and current clients to manage all aspects of order processing. This includes overseeing order management, addressing phone and email inquiries, coordinating pricing quotes, expediting shipments, and issuing Return Material Authorizations (RMAs). This role reports directly to the Customer Service Manager.

Key Responsibilities

  1. Manage all order processing activities, including price quote evaluations, accurate order entry, backlog assessments, and regular updates to clients regarding order status.
  2. Handle incoming calls with the aim of immediate resolution or redirecting to the appropriate team member to maintain service standards.
  3. Initiate quote requests following established protocols and coordinate with Applications Engineers and Account Managers.
  4. Respond promptly to incoming sales inquiries, adhering to defined lead management standards and responsiveness goals.
  5. Process RMAs by reviewing customer requests for credits/debits, obtaining necessary approvals, and ensuring timely paperwork processing.
  6. Assist the finance team in following up with clients regarding overdue payments.
  7. Perform additional job-related tasks as assigned by the manager.

Essential Skills and Qualifications

  • Ability to communicate effectively with various cross-functional teams to resolve issues and ensure high customer satisfaction.
  • Strong organizational skills to maintain customer documentation in compliance with company policies.
  • Proactive approach to promptly address customer concerns with input from internal associates.
  • Minimum of 2 years of experience in a customer service role.

Education and Experience

Bachelor's degree from an accredited institution or equivalent combination of education and experience.

Proficiency in Microsoft Office, particularly Outlook and Excel.

Familiarity with Oracle and/or Salesforce is advantageous.
