Job Title: Office Manager

We are seeking a highly organized and detail-oriented Office Manager to join our team at Virtual Therapeutics. As an Office Manager, you will be responsible for maintaining the day-to-day administrative and facility operations of our Larkspur, California office.

Key Responsibilities:
  • Maintain office operations, including ordering and restocking office supplies, and receiving and distributing mail.
  • Support on-site employees by answering first-level employee requests and questions related to office equipment and maintenance.
  • Ensure consistent organization and maintenance of office facilities.
  • Manage and coordinate office visits for guests, including clients, vendors, and other stakeholders.
  • Coordinate domestic and international travel arrangements.
  • Plan and coordinate on-site and inter-office activities, employee engagements, and annual events.
  • Organize company meetings, including arranging catering and making restaurant reservations.
  • Assist with on-site recruitment procedures, including employee onboarding and exit processes.
  • Track workplace operational spending and continually seek efficiency and opportunities to allocate resources.
  • Coordinate and assist with invoice processing and company file management.
  • Maintain and support office policies and procedures in liaison with HR and executive staff.
Requirements:
  • 3+ years of experience in office administration, HR, facilities management, and/or equivalent work experience.
  • Bachelor's degree in Business Administration, Communications, or equivalent work experience.
  • Ability to work on-site.
Preferred Qualifications:
  • Proficiency in administrative software, including Microsoft Office, Google Suite, Slack, and/or Confluence.
  • Excellent written/verbal communication and interpersonal skills.
  • Passion for creating a seamless and high-functioning office environment.
  • Ability to work independently and as part of a team.
  • Flexible and comfortable in a fast-paced, ever-changing environment.
  • Strong organizational and analytical skills.
  • Ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
  • Strong work ethic and sense of personal responsibility.
Work Schedule:
  • Up to 25 hours per week.
  • Monday to Friday, between 9:00 AM to 5:00 PM PDT.
Compensation:
  • $30 per hour.
