Position Summary:
We are in search of a meticulous and highly organized Administrative Office Assistant. The ideal candidate will possess robust administrative capabilities, bookkeeping experience, and a working knowledge of QuickBooks. Familiarity with HR laws and regulations will be regarded as a significant advantage.

Key Duties:

  • Provide essential administrative support to maintain smooth office operations
  • Manage and direct phone calls, emails, and other inquiries
  • Coordinate and schedule appointments and meetings
  • Maintain contact lists and office documentation
  • Assist in preparing regular reports
  • Establish and uphold an efficient filing system
  • Perform bookkeeping tasks, including overseeing accounts payable and receivable
  • Utilize QuickBooks for financial record-keeping and reporting
  • Support HR functions by managing employee records and ensuring HR compliance
  • Execute additional responsibilities as assigned

Qualifications:

  • Demonstrated experience as an administrative assistant or office administrator
  • Proficient in MS Office, particularly MS Excel and MS Word
  • Hands-on experience with QuickBooks
  • Understanding of office management systems and procedures
  • Familiarity with office equipment, such as printers and fax machines
  • Exceptional time management skills with the ability to prioritize tasks
  • Strong attention to detail and problem-solving abilities
  • Excellent written and verbal communication skills
  • Outstanding organizational skills with the capability to manage multiple tasks
  • Knowledge of HR laws and regulations is advantageous

Education and Experience:

  • High School diploma or equivalent; a college degree is preferred
  • Prior experience in bookkeeping or accounting is highly desirable
  • Previous involvement with HR tasks is a plus
