The Financial Operations Coordinator plays a pivotal role in ensuring the seamless and efficient functioning of the department by overseeing and managing all facets of financial operations (billing, eBilling, etc.) for designated Billing Partners.

This role involves assisting partners with all elements of their financial operations through established relationships both within and outside the firm, serving as the primary point of contact for these operations.

Key responsibilities include establishing and managing financial operation frameworks to guarantee compliance with client specifications in invoicing while acting as the practice's liaison with other administrative functions within the firm.

This position is a highly visible and essential resource within the office, necessitating a skilled blend of operational management, analytical capabilities, tactical processing, problem-solving, and customer service.


Core Responsibilities:

Essential Duties:
Oversees the complete financial relationship for a designated portfolio with tact, diplomacy, and effective negotiation skills.

Engages fully with assigned partners to advise and resolve complex billing, collections, client reporting, and financial management issues.

Coordinates or executes all aspects of the invoicing cycle for assigned partners from initiation to completion.

Acts as the primary contact and manager for eBilling items for the designated portfolio (e.g., obtaining eBilling numbers from clients, submitting budgets for approval, reviewing rates, confirming eBilling acceptance, resolving eBilling rejections).

Collaborates directly with assigned partners, serving as a crucial resource in optimizing cycle effectiveness while minimizing their administrative burdens.

Proactively anticipates outcomes, evaluates next steps, and recommends strategies for actionable improvements related to assigned portfolio responsibilities.

Conducts analysis and research pertinent to the assigned portfolio to provide concise, detail-oriented documentation, statistics, tracking, and recommendations.

Coordinates with Client Rates Management, Pricing, Matter Opening, and Client Financial Services (CFS) functions as necessary to ensure seamless delivery of accounting services to assigned partners.

Evaluates unbilled and/or accounts receivable inventory and aligns billing, collections, and financial management efforts with partners, attorneys, and other professionals throughout the firm to ensure appropriate revenue realization while maintaining high client satisfaction.

Collaborates with Business Development on RFPs as necessary to ensure proper budgets, rates, timekeeper information, etc.

In conjunction with attorney teams and billing professionals, ensures a comprehensive understanding of client guidelines and compliance with those guidelines.

Establishes, nurtures, and maintains professional, credible, and collaborative relationships with attorneys, staff, and clients to ensure accounts meet both attorney and client specifications.

Monitors budgets where applicable and communicates with assigned partners and clients as appropriate.

Develops effective cross-training and knowledge transfer procedures to ensure seamless support for all portfolio matters.

Addresses ad hoc practice or client requests (e.g., accruals, budget updates).

Performs additional duties as assigned.

Qualifications:

Education/Training/Certifications:
A Bachelor’s degree or an equivalent combination of education and/or experience may be considered in lieu of the degree when the experience has been directly related to the functions of the job.

Professional Skills and Experience:
A minimum of three years of legal billing experience, including eBilling; required.

A minimum of three years of legal billing experience with a large firm supporting corporate practice; required.

Advanced accounting/finance experience; preferred.

Strong analytical and problem-solving skills with the ability to analyze, identify, and communicate results to the team.

Technical Skills:
Advanced proficiency in Microsoft Office; required.

Advanced spreadsheet/analytical proficiencies; required.
