Job Overview

As an Accounts Receivable Portal Specialist at Accounting Career Consultants, you will play a vital role in managing enterprise accounts across multiple divisions, ensuring maximum receivables and efficient order-to-cash processes with minimal past-due balances.

Key Responsibilities
  • Maintain online portal billing systems, ensuring they are up-to-date and fulfilling all account requirements.
  • Confirm and review purchase orders for accuracy, send shipping notifications, download reports, upload invoices, and modify invoice formats.
  • Work with the portal technical team and AP department contacts for assistance on invoice action items and scheduled payments.
  • Assess risk of new customer portal requests and lead discussions with Sales, Customer Service, and Credit Management.
  • Create new process flow documentation for approved portal agreements.
  • Collaborate with internal teams to resolve payment disputes and recommend process enhancements across multiple branch locations for all portal customers.
  • Manage login and connection requests for vendor-created portals and third-party vendor sites utilized for remittance details.
  • Prepare and submit periodic operating reports to the Credit Manager on the status of receivables and portal accounts.
  • Perform month-end closing procedures as needed.
  • Identify collection irregularities such as credits, deductions, payments on accounts, portal rejections, short payments, disputes, and investigate discrepancies to prevent delinquency.
  • Regularly review the status of collections to ensure receivables are in sound condition.
  • Perform accounts receivable functions including preparing invoices, credits, posting payments, summary billing, reconciling invoices, and resolving AR records.
  • Request proper documentation from internal departments and present it to customers to secure payment.
  • Assist in the Credit department email box and provide requested documentation (invoices, statements, PODs, etc.) per customer requests.
Requirements
  • High School Diploma or equivalent required.
  • Some relevant college-level business courses in accounting principles preferred.
  • 3-5 years of related experience in Accounts Receivable or a related field required.
Preferred Qualifications
  • Strong knowledge of Accounts Receivable, Customer Service, and Credit Collections required.
  • Additional knowledge of portal platforms is a plus.
Skills and Abilities
  • Account reconciliation, critical and analytical thinking, proficiency in Microsoft Office Excel, Outlook, and Word.
  • Sufficient computer skills to navigate and develop management resources to maintain portal connections.
  • Able to communicate with customer contacts and internal departments for account resolution.
  • Manage multiple portal software platforms and navigate new customer portal relationships with investigative research.
  • Willing to work under minimal supervision at times and be a team player with a problem-solving mentality.
  • Maintain a high level of integrity in daily work, always maintaining a professional and positive demeanor.
  • Detail-oriented, strong problem-solving, prioritization, organizational skills, and ability to multi-task while working under pressure.
