Position Overview

The Operations Specialist for the Laboratory Accreditation Program (LAP) plays a crucial role in:

+ Overseeing the application and reapplication processes, ensuring all pre-inspection tasks align with the requirements of inspectors, commissioners, and participant laboratories.

+ Maintaining the accreditation cycle for laboratories.

+ Utilizing critical thinking and diverse methodologies to independently manage pre-inspection activities across various programs and initiatives.

+ Employing advanced problem-solving skills to address both routine and complex application and inspection scenarios.

+ Monitoring accreditation timelines and effectively distributing workloads.

+ Delivering exceptional customer service throughout the pre-and post-inspection phases.

Key Responsibilities

The primary duties of the Operations Specialist, LAP include:

+ Analyzing and processing application requests, ensuring all materials are complete and accurate within specified timeframes, and initiating follow-ups as necessary.

+ Reviewing checklist usage reports related to applications and staff assignments to guarantee proper checklist assignments for inspections.

+ Maintaining and updating laboratory demographic information, including:

  • Activity menus
  • Director and contact information
  • Demographic data
  • Checklist usage
  • Accreditation events and cycles
  • Historical data

+ Processing notifications regarding laboratory changes such as mergers, reinstatements, and terminations.

+ Creating cases in Salesforce for inquiries received via phone, email, or chat.

+ Conducting personnel maintenance in relevant systems.

+ Assisting program participants, inspectors, and commissioners with inquiries about the accreditation cycle and application processes.

+ Monitoring the BPM Work Queue to ensure timely retrieval of necessary documents.

+ Investigating and resolving inquiries related to the accreditation cycle and application processes.

+ Initiating correspondence and tracking follow-ups for laboratory change approvals.

+ Identifying potential enhancements for internal systems and participating in their design and implementation.

+ Contributing to the training of new staff members.

+ Collaborating effectively with team members to achieve departmental goals.

+ Performing additional duties as assigned by management.

Qualifications

+ Proven ability to meet deadlines.

+ Familiarity with clinical laboratory processes and terminology is advantageous.

Technical Skills:

+ Proficient in Microsoft Windows applications and Oracle.

Education and Experience:

+ A college degree is preferred but not mandatory.

+ A minimum of two years of experience in a business or healthcare-related environment is required.
