Key Responsibilities:
Front Desk Coordinator Duties (90% of your time):
- Deliver exceptional customer service and administrative support.
- Welcome all patients and offer refreshments.
- Manage patient check-ins and ensure the schedule accurately reflects appointment statuses.
- Facilitate patient check-outs and arrange follow-up appointments.
- Maintain accountability for the scheduling system.
- Introduce visitors to the appropriate staff members for assistance.
- Conduct appointment confirmation calls.
- Prepare and organize patient charts for the next day based on scheduled times.
- Maintain inventory of front office supplies.
- Monitor and manage email communications, forwarding to relevant staff.
- Organize and uphold the filing system.
- Ensure the Front Desk and Lobby areas are tidy and welcoming.
- Billing:
- Process patient payments efficiently.
- Generate daily close-out reports from the scheduling system and verify their accuracy.
- Complete deposit slips for all cash and check transactions.
Occasional Medical Assisting Duties (10% of your time):
- Schedule post-operative appointments.
- Ensure timely retrieval of individual medical records as requested.
- Oversee the collection, processing, maintenance, storage, and access to patient and clinical records.
- Assist with pre-operative and post-operative visits as needed.
- Prepare the procedure room according to established standards.
- Perform cleaning and sterilization of the operating room and instruments post-procedure.
- Prepare necessary instruments and equipment for surgical procedures.
- Assist with the application of post-procedure dressings and garments, prioritizing patient comfort.
- Support other staff members in their duties.
- Maintain patient confidentiality and ensure compliance with HIPAA regulations.
- Contribute to the clinic's Key Performance Indicators for operational and sales targets.
- Provide explanations of treatment procedures, medications, and physician instructions to patients and caregivers.
- Assist in maintaining appropriate levels of medical supplies.
Physical Demands:
- Utilization of telecommunication and computer systems while interacting with patients, caregivers, and staff.
- Ability to stand and walk for extended periods in a fast-paced environment.
- Capability to lift items weighing up to 25 pounds.
Key Skills/Qualifications:
- Must maintain BLS certification.
- Ability to interpret various forms of instructions and communicate effectively.
- Proficient in writing reports and correspondence.
- Strong problem-solving skills and logical reasoning.
- Familiarity with MS Office, particularly Excel.
- Basic mathematical skills for calculations.
- Knowledge of surgical and medical instruments.
Education:
Successful completion of a Medical Assistant program from an accredited institution, meeting state requirements.
Qualifications:
- Required: MA Diploma
- Preferred: Advanced Cardiac Life Support certification
