The Boston Athletic Association (B.A.A.) is a charitable organization dedicated to fostering a healthy lifestyle through sports, particularly running. The B.A.A. envisions a world where everyone can engage in running and maintain an active lifestyle. The organization pursues its mission by organizing large-scale running events, including the Boston Marathon, supporting community fitness initiatives, and sponsoring a local running club.
ROLE OVERVIEW
The Volunteer Program Manager is responsible for overseeing the comprehensive B.A.A. Volunteer Program, which is essential for the success of B.A.A. events. This program engages approximately 10,500 volunteers each year, including 230 Team Captains who lead volunteer efforts during major events. This position focuses on delivering exceptional service and training for volunteers while continuously improving the volunteer program to align with B.A.A. goals beyond major events.
KEY RESPONSIBILITIES
- Oversee the recruitment of volunteers for various events, ensuring that diversity, equity, and inclusion are prioritized in all recruitment strategies.
- Develop initiatives to utilize volunteers for additional B.A.A. activities throughout the year, furthering the organization's mission.
- Communicate updates regarding volunteer program activities to internal stakeholders, enhancing awareness of volunteer contributions and opportunities.
- Provide outstanding service to volunteers through multiple communication channels, ensuring a positive experience.
- Manage inquiries and requests from volunteers, ensuring timely responses during peak periods.
- Maintain accurate volunteer records in Salesforce, conducting regular updates and audits.
- Facilitate the development and testing of the volunteer registration system for events in Salesforce.
- Coordinate the preparation of volunteer supplies and materials for events.
- Create and update educational resources for volunteers, ensuring alignment with organizational values.
- Support Team Captains and Group Leaders in managing their volunteer teams, providing necessary resources and guidance.
- Assist with volunteer check-in and check-out processes during events.
- Lead the tracking of volunteer attendance and feedback post-events, compiling reports on findings.
- Implement recognition initiatives for volunteers celebrating milestone service years.
- Develop strategies to enhance volunteer retention and satisfaction, aiming to diversify the volunteer base.
- Manage temporary volunteer support as needed during high-demand periods.
- Perform additional duties as assigned.
QUALIFICATIONS
The ideal candidate will possess a diverse range of experiences and skills, demonstrating a commitment to advancing diversity, equity, and inclusion. Key qualifications include:
- A minimum of 3-5 years of experience in customer service, volunteer management, or the non-profit sector, preferably in event settings.
- Proven ability to deliver excellent customer service across various stakeholder groups.
- Strong communication skills, both written and verbal, with experience in public speaking.
- Effective time management and organizational skills, with the ability to prioritize tasks effectively.
- Experience working collaboratively in teams as well as independently.
- Proficiency in Microsoft 365 and Salesforce is preferred.
- Flexibility to work evenings and weekends as required.
WORK ENVIRONMENT
This position is a full-time role requiring a commitment of 40 hours per week. The role demands flexibility to accommodate event schedules, including potential extended hours during major events.
