Job Title: Accounting Associate

Job Summary:

The Accounting Associate will play a critical role in maintaining accurate financial records and ensuring a smooth and organized operation of accounting processes and procedures. This position will be responsible for performing administrative duties related to payables, receivables, and providing exceptional service to our customers.

Key Responsibilities:

  • Analyze departmental expenses on a month-to-month basis.
  • Utilize accounting software for efficient financial management.
  • Handle Accounts Payable (AP) and Accounts Receivable (AR) to ensure accurate financial records.
  • Work with the Director of Finance to manage and monitor AP and AR to maximize cash flow.
  • Process daily accounts payable transactions – invoices and employee expenses.
  • Ensure AP activities comply with departmental policies, accounting standards, and regulatory requirements.
  • Implement and monitor internal controls to prevent errors and fraud.
  • May carry out audit activities to ensure compliance with financial regulations.
  • Assist with the budgeting process within the organization.
  • Record routine journal entries and bank transactions.
  • Conduct month-end closing and reconciliation.
  • Respond to vendors and business partner inquiries about invoice payments promptly and professionally to maintain positive relationships.
  • Resolve any disputes or discrepancies.
  • Utilize ERP system to manage financial data and generate reports.
  • Provide support to colleagues as needed.

Requirements:

  • Must be able to effectively communicate with customers, business partners, and sales associates.
  • Must protect company assets, proprietary information, and maintain confidentiality on business/financial matters.
  • Must possess excellent organizational and time management skills.
  • Ensure accuracy and be diligent in follow-up and follow-through.
  • Proficient in Accounting Functions – AP, AR, collections, and reconciliations.
  • Solid understanding of accounting principles.
  • Must be self-motivated with the ability to prioritize responsibilities based on deadlines and importance.
  • Professionalism and ethical behavior are a must.
  • Possess strong communication skills – verbally and in written correspondence.
  • Proficient in MS Office programs – Word, Excel, Outlook, and other CRM software.

Education:

AA or certificate in accounting-related field or equivalent combination of experience and training. Working knowledge of basic accounting principles. Bachelor's degree in accounting or finance preferred.
