Job Title: Onboarding and Benefits Specialist

Roundabout Theatre Company is seeking a highly organized and detail-oriented individual to join our Human Resources Department as the Onboarding and Benefits Specialist. This role is responsible for overseeing the ADP Onboarding process and assisting with the administration of all benefits and retirement programs.

Key Responsibilities:
  • Ensure the accuracy of all benefits enrollments in the HRIS system.
  • Perform quality checks of benefits-related data.
  • Assist employees with benefits claim issues and plan changes.
  • Distribute benefits enrollment materials and determine eligibility.
  • Enroll employees with carriers and process life status changes.
  • Respond to benefits inquiries from managers and employees on plan provisions, benefits enrollments, and status changes.
  • Process and administer all leave-of-absence requests and disability paperwork.
  • Assist with the preparation of 1095 forms.
  • Ensure compliance with all federal, state, and local regulations related to benefits.
  • Respond to 401(k) inquiries from managers and employees relating to enrollments, plan changes, and contribution amounts.
  • Assist with the open enrollment process.
  • Prepare and approve group insurance bills for allocation and payment.
Onboarding Responsibilities:
  • Manage the entire New Hire process in ADP Workforce Now.
  • Handle onboarding of new hires, transfers, promotions, data entry, and review of employment documents.
  • Prepare and review new hire and orientation paperwork.
  • Run background checks on new administrative staff.
  • Review onboarding documents for completeness.
  • Review and process employment actions in ADP Workforce Now.
  • Create electronic employee files for all employees.
  • Audit personnel files for any missing documents required by regulatory agencies.
  • Serve as the key point of contact for each new hire.
  • Work collaboratively with hiring managers to on-board all new employees.
  • Promote a positive and pleasant attitude conducive to the workplace.
Requirements:
  • Knowledge of employee benefits and applicable laws.
  • Excellent written and verbal communication skills.
  • Excellent organizational and time management skills.
  • Patience and grace when interacting with different personality types.
  • Ability to keep information confidential.
  • Proficient with Microsoft Office Suite or related software.
  • Experience with HRIS systems, ADP Workforce a plus.
  • 5 years' experience in HR and/or benefits administration.
  • Willingness to engage with staff both in person and virtually.

This is a full-time exempt position with all standard Roundabout benefits. The salary range is $63,000–$68,000 annually.
