Job Summary

The Oregon Health & Science University is seeking a highly skilled Practice Manager to oversee the clinical operations of the Avel Gordly Center for Healing. This is an exciting opportunity for a seasoned healthcare professional to lead a team of experts in providing exceptional patient care, leading innovative research, and offering hands-on training for the next generation of psychiatrists.

Key Responsibilities
  • Provide direct supervision, leadership, expert guidance, and training to the clinic support staff.
  • Manage all personnel issues, including recruitment and training of support staff, provide oversight and monitor timekeeping/payroll, track employee health requirements.
  • Conduct performance evaluations, mentor employees in career growth, as well as facilitate discipline and dismissal, if necessary.
  • Oversee and monitor the intake process for all patients, including overseeing the DAR daily, and making sure that template appointments are filled.
  • Clear 333 and 975 work queues daily and resolve any billing problems or issues that may be responsible for transaction backlog.
  • Manage the outpatient coding and documentation processes.
  • Manage departmental referral/authorization personnel and processes across the faculty practice sites to maximize the number of patient encounters that have proper referrals and authorizations.
  • Collaborate with UMG business partner and departmental leadership to develop and communicate action plans for resolving billing issues.
  • Develop and implement policies and procedures that optimize and streamlines revenues.
  • Train staff and faculty in best practices.
  • Oversee compliance at AGCH with all regulatory agencies, understands and ensures HIPAA compliance, and satisfies hospital and any other regulatory body requirements.
  • Act as liaison between faculty and staff and the department and hospital.
  • Audit faculty and residents for medical records compliance with hospital and regulatory standards.
  • Report back regularly to department leadership on all operations and compliance issues.
  • Coordinate training of faculty, residents and staff in appropriate protocols and documentation and coding of services that generate billing.
  • Work with coders on developing and implementing strategies to correct issues identified in internal audits.
Requirements
  • Bachelor's degree (Public Health or Business Administration or related field preferred).
  • 3 years supervisory experience in a healthcare or clinical setting, or equivalent education and experience.
  • Demonstrated leadership skills; excellent interpersonal and written communication skills; ability to work autonomously.
  • Working knowledge of mental health system and insurance reimbursement issues; excellent organizational skills; ability to actively and proactively manage multiple priorities; working knowledge of financial management/accounting; familiarity with computer hardware and usual office software programs.
Preferred Qualifications
  • Master's degree (Public Health or Business Administration or related field preferred).
  • Previous OHSU or Behavioral Health leadership experience.
  • Experience with reporting and quantitative and qualitative analysis.
  • Experience with EPIC or other patient information software.
  • Demonstrated supervisory skills; familiarity with state and commercial mental health insurances; business knowledge of community and private practice mental health issues; familiarity with issues pertinent in an academic medical center.
Additional Details
  • This is an in-person/in-clinic position. Ability to travel within tri-county area for meetings with contracted parties; ability to travel to/from OHSU Hill campus.
  • Ability to speak clearly, demonstrate patience and understanding of patients' needs. Ability to explain complex, technical requirements clearly to patients, staff and providers. Ability to exhibit trauma informed care approach to interpersonal interactions. Ability to communicate effectively with diverse workforce with cultural competency.
  • Must be able to deal with competing needs and priorities of patients and internal customers. Must be able to use personal computers, copiers, phones, and fax machine. Must be able to move around work area continually, lift up to 30 lbs. and carry 20 ft., continual keyboard operation and rapid mental/hand/eye coordination.
  • Able to navigate all clinic space at downtown clinic and all Department of Psychiatry spaces at Hill locations.
