Job Summary:
The Client Relations Coordinator plays a crucial role in managing service requests, policy modifications, and collaborating closely with Account Managers to support various business portfolios. This position is expected to deliver prompt, precise, and courteous support to both clients and team members.

Key Responsibilities:
1. Oversee communication channels including emails, mail, voicemail, and agency management tasks, while conducting self-audits.

2. Receive, assess, and document all client and carrier communications within our agency management system, addressing driver requests, endorsement inquiries, and cancellations/rescissions.

3. Examine audits, endorsements, and policies for accuracy, ensuring alignment with the agency management system before client delivery. Corrections will be made in accordance with agency protocols.

4. Prepare necessary documentation such as certificates, evidence of property, or auto IDs, and direct them to the appropriate parties or delegate to Service Assistants for processing.

5. Review contracts and respond to certificate requests that necessitate additional information or coverage.

6. Assist in the monthly reporting process, which includes preparing preliminary reports, client correspondence, carrier submissions, and transactions.

7. Support the new and renewal business processes by preparing exposure update requests, ordering loss runs and summaries, drafting renewal strategy documents, and managing excel schedules, MVR requests, and supplemental applications.

8. Collaborate with Account Managers throughout the new and renewal business processes, including basic carrier submissions, online rating, proposal preparation, and coverage binding.

9. Manage agency bill transactions, establish premium financing, request refunds as necessary, and submit surplus lines tax filings online in accordance with agency guidelines.

10. Provide backup support for Account Managers to address immediate service needs.
11. Assist in training new employees as requested by Team Advisors.
12. Adhere to agency standards, policies, and procedures.

Education and Experience:
A high school diploma or equivalent is required.

Candidates must possess and maintain an active P & C License or be willing to obtain one within 120 days of employment.

Experience in commercial insurance with 1-2 years is preferred.
Obtaining and maintaining an insurance designation such as CISR is encouraged.

Technical Skills:
Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook, Teams) is essential. Familiarity with Agency Management Systems, particularly Applied Epic, is a plus.

Additional Qualifications:
Strong understanding of accounting principles or advanced math skills is required.
Candidates must be organized, detail-oriented, capable of multitasking, and possess excellent verbal and written communication skills.
Effective collaboration with others is essential.
Strong problem-solving abilities are necessary.
