Key Responsibilities

  • Inventory Management: Oversee data entry and related actions in the Inventory Management System (IMS). Ensure accuracy and completeness of transactions, monitor staff performance, and maintain documentation in compliance with established policies.
  • Procurement Compliance: Uphold the principles of the Agency's SWAM Procurement Plan during vendor sourcing decisions. Ensure adherence to applicable laws and regulations while completing required training.
  • Budget Development: Assist in the formulation of administrative and financial budgets for the residency. Collaborate with maintenance staff to support effective work and spending plans.
  • Emergency Operations Coordination: Manage business support operations during emergencies, including maintaining essential documentation and ensuring compliance with operational protocols.
  • Financial Oversight: Supervise daily accounts payable and receivable transactions, ensuring compliance with guidelines. Monitor financial systems for errors and oversee time entry processes.
  • Procurement Operations: Ensure compliance with procurement policies across the residency. Assist staff in the procurement process and prepare necessary requisitions and purchase orders.
  • Supervisory Duties: Provide direction and support to staff, fostering an environment of communication and collaboration. Train and mentor team members to achieve organizational goals.

Qualifications

  • Strong communication skills, both verbal and written.
  • Valid driver's license.
  • Knowledge of accounting principles, auditing practices, and budget management.
  • Experience in supervising and guiding teams.
  • Proficiency in using financial software applications.

Additional Considerations

  • Background in Accounting, Business Administration, or a related field is preferred.
  • Familiarity with state budgeting practices.
  • Experience in public sector or transportation organizations is advantageous.
