Position Overview

The Annual Campaign Coordinator will work closely with the Development and Communications team to assist in the formulation and execution of a comprehensive, data-informed Annual Campaign strategy. This role is pivotal in achieving significant fundraising objectives, enhancing donor retention, upgrading current donor contributions, and facilitating the acquisition of new supporters. The coordinator will ensure the integrity and completeness of donor information, aid in the creation of campaign materials, manage donor communications, and support fundraising initiatives.

Key Responsibilities

  • Campaign Strategy and Implementation (20%): Partner with the Development and Communications team to devise and execute a thorough Annual Campaign strategy. Employ data-driven approaches to meet fundraising targets, enhance donor retention, upgrade existing donor contributions, and attract new supporters.
  • Data Oversight (20%): Guarantee that all donations, pledges, and associated information are accurately recorded in the CRM system. Maintain records for current donors and ensure all fundraising data is precise and current.
  • Reporting and Data Analysis (5%): Assist in data-related projects and report generation as required. Keep donor contact information and related records updated.
  • Campaign Material Production (10%): Collaborate with the Communications team to develop appeals, publications, videos, and other media pertinent to the Annual Campaign. Work together to establish a coordinated timeline for mailings, solicitations, and other campaign milestones.
  • Donor Recognition and Support (20%): Ensure that donors receive prompt acknowledgments and thank-you communications, both electronically and otherwise. Provide necessary support to donors and adhere to the donor communication schedule.
  • Executive and Development Assistance (10%): Assist the Executive Director, Development Director, and the Development team with strategies and solicitations related to the Annual Campaign.
  • Event Management (10%): Create and maintain guest lists for fundraising events. Stay in contact with the Event Coordinator and provide assistance as needed.
  • Fundraising Page Administration (5%): Develop and manage fundraising pages and campaigns in collaboration with the Communications team.

Daily Responsibilities:

  • Process and acknowledge donor contributions through the fundraising platform.
  • Input donation details into the CRM and update records accordingly.
  • Send tax acknowledgment receipts to donors following the processing of their contributions.
  • Ensure all donations are entered into the CRM accurately and promptly.
  • Provide support by addressing inquiries from donors, Board members, staff, and other stakeholders.
  • Manage fundraising campaign pages, including donation processing and refund transactions.
  • Update the CRM with corrected mailing addresses for returned mail and resend original communications.
  • Assist with data and reporting projects as necessary.
  • Maintain current contact and organizational records in the CRM.

Qualifications

A Bachelor's degree in a relevant field or equivalent experience. Demonstrated experience in nonprofit fundraising, donor relations, and data management. Proficiency in CRM systems. Strong organizational skills and attention to detail. Excellent written and verbal communication abilities. Capacity to work collaboratively within a team environment. Familiarity with online fundraising platforms is preferred. Work Environment: This position typically operates in a professional office setting and may require occasional evening and weekend work.
