Key Responsibilities:

  • Oversee trade show registrations, accommodations, logistics, and follow-up activities.
  • Attend trade shows as needed, collaborating with senior management and account representatives.
  • Plan and coordinate event objectives, budgets, timelines, and logistics.
  • Procure supplies, equipment, and rentals, ensuring adherence to quality and branding standards.
  • Obtain product quotes and liaise with preferred vendors.
  • Facilitate sponsorship arrangements and act as a point of contact for vendors regarding event matters.
  • Organize and maintain confirmations for accommodations and shipments, as well as manage booth badges and digital assets for team accessibility.
  • Document logistical processes before and during events; monitor shipments to guarantee timely arrivals.
  • Utilize project management tools to oversee the master event schedule and pipeline.
  • Prepare and distribute marketing materials, including sales presentations and collateral.
  • Employ Customer Relationship Management software to track interactions and foster relationships with leads and clients.
  • Participate in weekly meetings with the marketing team and stakeholders.
  • Perform additional duties as required by the position.
Qualifications:
  • Bachelor's degree with a minimum of 3 years of relevant experience.
  • Strong communication, organizational, customer service, and project management skills.
  • Ability to handle multiple tasks and manage various assignments simultaneously.
  • Exceptional interpersonal skills and a high level of professionalism.
  • Capability to work independently with minimal supervision and meet deadlines.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Familiarity with Adobe Creative Cloud tools (Photoshop, Illustrator, InDesign) is a plus.
  • Experience with Canva is advantageous.
  • Willingness to travel 30% – 40% of the time.
Physical Requirements:
  • Manual dexterity and visual acuity are essential.
  • Ability to perform repetitive motions and maintain prolonged periods of sitting and standing.
  • Occasional lifting of up to 25 pounds, along with bending and carrying.
