GENERAL OVERVIEW:
Facilitates appointment scheduling for patients with healthcare providers through both incoming and outgoing communications, emphasizing exceptional customer service. Provides essential operational support to enhance patient care within a call center environment. Responsible for promptly and professionally answering calls, scheduling appointments, and collecting and entering insurance details.

KEY RESPONSIBILITIES:
Engages with patients in a friendly and professional manner over the phone.

Directs incoming calls to the relevant department or location as needed.

Registers new patients by entering demographic and insurance information.

Assists patients in scheduling initial appointments and manages rescheduling requests.

Maintains and updates the database of referring physicians.

Utilizes online scheduling systems and electronic health records (EHR).

Confirms patient information and insurance details to ensure accurate billing.

Addresses patient inquiries or escalates to management as appropriate.

Efficiently fills cancellation slots to keep practitioner schedules optimized.

Keeps detailed documentation of action items necessary for daily operations.

REQUIRED KNOWLEDGE AND SKILLS:

Proficient in the following software:
Email, PowerPoint, Excel, Word.

Exhibits strong interpersonal skills by effectively communicating with all levels of management, staff, external vendors, and patients.

Demonstrates excellent organizational skills and attention to detail, with the ability to multitask effectively.

Capable of handling sensitive and confidential information with discretion.

Able to work both independently and collaboratively within a team.

Displays professionalism in interactions with all internal and external patients/customers as evidenced by prior work experience.

Possesses strong verbal and written communication abilities.

PREFERRED KNOWLEDGE AND SKILLS:
Familiarity with electronic health records (EHR).


Any combination of education, training, or experience that equips the individual with the necessary knowledge, skills, and abilities to successfully fulfill the responsibilities of the position.


EDUCATION AND EXPERIENCE REQUIRED:
High School Diploma or Equivalent.

Prior experience in customer service roles.

EDUCATION AND EXPERIENCE PREFERRED:
Experience in a medical office or call center environment.
