Job Summary:

The Assistant Property Manager will play a key role in the day-to-day operations of our properties, ensuring that they are well-managed, well-maintained, and meet the highest standards of customer satisfaction. This position will assist in the implementation of company policies and procedures, and will be responsible for developing and maintaining positive customer relationships.

Key Responsibilities:

  • Customer Relations and Property Management:
    • Develop and maintain positive customer relationships through responsive and quality service.
    • Communicate with customers on a regular basis to address their concerns and needs.
    • Coordinate and assist with customer events, receptions, and orientations.
    • Prepare customer engagement programs to maintain satisfaction with building amenities and services.
    • Oversee the property website and ensure that information is current and accurate.
    • Perform property inspections to identify risk management liabilities and ensure that preventive maintenance and cleaning are performed according to contract standards and company policy.
    • Prepare property status reports, building inspection reports, tracking reports, correspondence, and files.
  • Property Accounting:
    • Assist in preparing the operating budget, including revenue, expenses, capital plan, and operating expense management.
    • Work with Property Managers to prepare monthly financial reports, including accruals, budget variance reports, and forecast reports.
    • Review and approve monthly recurring billing and miscellaneous billing.
    • Reconcile monthly invoices of major service providers to ensure accuracy and prepare reports for billing.
    • Understand methods of calculating operating expense prorate shares, prepare and review calculations, and approve customer statements.
    • Responsible for reviewing and approving invoices and working with the Administrative Manager on accounts receivable, collection activities, and maintenance of accounts payable.
    • In conjunction with the Administrative Manager and Property Manager, complete operating expense review and customer calculation sheet preparation.
    • Prepare annual rental letter communication to customers.
  • Leasing:
    • Administer leases on matters pertaining to contractual performance, including leasehold rights and landlord and customer obligations.
    • Prepare rental commencement letters and lease required notices.
    • Review lease abstracts provided by Lease Administration.
    • Support the Leasing team by preparing vacant space and participating in tours.
    • Review lease draft language from counsel to incorporate property-specific terms.

Requirements:

  • A minimum of 2 years of commercial property management experience.
  • Prior commercial real estate office management experience is strongly preferred.
  • Bachelor's degree is preferred.
  • A high school diploma is required.
  • Valid driver's license is required.
  • Must work well with others and interact positively with customers and possess excellent verbal and written communication skills.
  • Must be detail-oriented, well-organized, and able to manage time and multiple projects efficiently to achieve the required results.
  • Proficient use of Microsoft Office suite, property management software, web-based software systems, and electronic file organization in a shared server environment is required.
  • Must be able to define problems, collect data, establish facts, and draw valid conclusions.
