Position Overview

As a vital member of our healthcare team at Summit Health, the Patient Services Representative plays a crucial role in ensuring a seamless experience for our patients and their families.

Key Responsibilities:

  • Warmly welcomes patients, visitors, and families, directing them to the appropriate areas.
  • Facilitates an efficient patient registration process while delivering exceptional customer service.
  • Answers incoming calls promptly, directing inquiries and taking accurate messages as needed.
  • Communicates any delays in physician schedules to patients, ensuring their comfort during wait times.
  • Manages self-pay transactions, collects payments, and issues receipts while maintaining accurate financial records.
  • Properly opens and closes financial batches, ensuring all collections are reconciled and documented.
  • Verifies insurance information using online systems and updates patient accounts accordingly.
  • Schedules appointments in line with departmental protocols, utilizing waitlists when necessary.
  • Coordinates orders for diagnostic tests and procedures, adhering to established workflows.
  • Collaborates with clinical staff to ensure timely pre-authorizations for patient care.
  • Processes referrals according to departmental standards and accurately enters them into the system.
  • Effectively communicates any issues or concerns to the Office Supervisor or Manager in a timely manner.

General Duties:

  • Performs various administrative tasks including faxing, photocopying, scanning, and filing.
  • Adapts to different work schedules and provides coverage for colleagues as needed.
  • Follows established procedures during downtime to maintain workflow.
  • Undertakes additional responsibilities as required.

Physical Requirements:

  • Ability to push and pull objects, considering weight and frequency.
  • Capable of lifting heavy items and maintaining physical strength.
  • Requires mobility to move around the workplace efficiently.
  • Dexterity to handle tasks requiring fine motor skills.
  • Maintains balance during activities such as climbing or bending.
  • Endurance for prolonged periods of standing, walking, or typing.

Environmental Considerations:

  • Exposure to various chemicals and fumes.
  • Working in environments with loud noises and vibrations.
  • Potential exposure to extreme temperatures and confined spaces.
  • Awareness of allergens such as dust and mold.
  • Risks associated with magnetic fields and radiation.
  • Handling of sharps and potential interactions with combative individuals.

Health and Safety:

  • Understanding of blood-borne pathogens and infectious hazards.
  • Awareness of potential exposure to body fluids and tissues.

Qualifications:

  • High School Diploma or GED required; Associate Degree preferred.
  • Previous experience in a patient services role is advantageous.
  • Proficient communication skills in English, both verbal and written.
  • Strong customer service skills are essential.
  • Ability to manage multiple tasks efficiently and effectively.
  • Familiarity with medical terminology and office procedures is preferred.
  • Basic computer skills are required; experience with office technology is a plus.
  • Experience with Electronic Health Records and Practice Management Systems is beneficial.

Travel Requirements:

  • Willingness to travel to various office locations as necessary.
