Nature of Work

The purpose of this role is to perform complex administrative duties, including typing documents, maintaining records, and processing various documents and forms. The incumbent will also be responsible for greeting the public, providing information, and performing related tasks.

Key Responsibilities

  • Acts as a lead worker, coordinating and assigning work to clerical staff as needed
  • Plans and organizes office activities to meet unit objectives in a timely manner
  • Maintains reference files, assembles data, and prepares reports
  • Provides administrative support to Boards and Commissions by preparing agendas and minutes
  • Conducts research and completes data for administrative reports
  • Takes dictation, keeps records, and prepares correspondence
  • Greets callers and visitors, screens incoming calls and correspondence
  • Develops and administers operating records, coordinates activities with other sections
  • Responds to citizen inquiries and complaints, exercising judgment in accordance with regulations
  • Maintains records on budget expenditures, payroll information, and personnel files

Requirements

  • Associate's degree
  • At least three years of experience in general clerical or office work
  • Any equivalent combination of training, education, and experience that provides the required skills, knowledge, and abilities

  • Departmental operations and organization
  • Principles and practices of recordkeeping
  • Computer applications
  • Basic bookkeeping
  • Modern office procedures and equipment

Ability to

  • Communicate effectively, both orally and in writing
  • Take and transcribe meeting minutes
  • Proofread, research files, and logically organize information
  • Meet schedules and deadlines
  • Understand and carry out oral and written directions
  • Maintain confidentiality and professional boundaries
