Responsibilities include establishing and maintaining databases and tracking systems pertinent to psychiatric care and psychoactive medications. The role involves creating and updating spreadsheets, forms, and documents to ensure compliance with care standards. Additionally, the assistant conducts chart reviews to abstract resident data for the psychiatrist and to monitor adherence to established treatment and medication protocols. Data tracking and analysis are essential components of this position. The assistant prepares documents for monitoring and regulatory requests and compiles reports. Issues are communicated to the psychiatrist for further evaluation. Participation in SSLC Interdisciplinary Team Meetings and Committee Meetings is expected to represent psychiatry as requested by the psychiatrist. Insights and information are contributed to these teams based on data analysis and chart reviews. This role operates under moderate supervision as a collaborative team member.Key Responsibilities:
Regular attendance is required, with potential for specific shift schedules, rotating shifts, extended hours, and/or overtime as per agency leave policies. Additional duties may be assigned.
The assistant may also serve in an on-call capacity on a rotating basis to meet the operational needs of the facility.Involvement in the planning and monitoring of psychiatric care for SSLC individuals is crucial, which includes extracting relevant patient data from resident charts.
Monitoring resident charts for consistent terminology related to psychiatric matters and implementing corrective actions as necessary is part of the role.
Tracking the consistency of psychiatric indicators, target behaviors, goals/objectives, and timelines, including medication indications and changes in treatment plans, is essential for timely reviews and psychiatrist signatures.
Data related to targeted symptoms, side effects, and program compliance is tracked and analyzed.Based on these evaluations, the assistant presents treatment plans to the psychiatrist for modifications when necessary.
As an integral member of the interdisciplinary team, the assistant contributes valuable information during medical review conferences and clinical updates focused on specific individuals.
Recommendations for activities or changes to enhance psychiatric care are encouraged.Scheduling and maintaining quarterly and emergency clinics is part of the role to ensure they occur as needed.
Collaboration with other departments, such as Behavioral Health, Medical, Dental, and Habilitation Therapies, is essential to ensure compliance with settlement agreements and regulations for Intermediate Care Facilities for Individuals with Intellectual Disabilities (ICF-IID).
Monitoring, trending, and analyzing compliance with established professional standards concerning laboratory tests and screening tools for psychotropic medication side effects is required.
Non-compliance with professional standards must be reported to the appropriate staff, including the Medical Director and Psychiatrist, along with relevant data to facilitate effective corrective action plans.
A system for tracking resident clinic appointments, including recall and scheduling based on professional standards, must be created and maintained.
Coordination of appointments and services with Legislative Authorized Representatives (LARs) is also part of the responsibilities.The assistant works with SSLC staff and the psychiatrist to address psychiatric service delivery challenges. When necessary, residents are appropriately selected and scheduled for services from locum tenens psychiatrists or through telepsychiatry.
Assistance in creating Quarterly and Follow-up Psychiatric Clinic Forms, preparing documents for monitoring and regulatory requests, and supporting administrative reports and specialized research projects focused on psychiatric care is expected. Internal auditing of psychiatric documents for required components is performed in conjunction with external auditors. Compliance reports are reviewed, and necessary improvements are tracked and implemented for Psychiatry. Additional duties and ad hoc projects may be assigned by the supervisor.
The assistant collaborates with the psychiatrist to develop Comprehensive Psychiatric Evaluations for new admissions and annual updates.
Creation and updating of spreadsheets and documents related to psychiatric patient information, including medication changes and lab results, are essential tasks.
Comprehensive data spreadsheets for each individual, including laboratory results and medication changes, are prepared and maintained.
Tracking of psychiatric consent forms and due dates for important documents is also part of the role.Proficiency in utilizing all SSLC software programs, including data input and document management, is required for efficiency and improvement in the Psychiatric Department.
Participation in disaster response and recovery efforts or Continuity of Operations (COOP) activation may be required, which could involve alternate shift patterns or locations.

Attention to detail and effective scheduling abilities are crucial for maximizing time and achieving desired outcomes.
Advanced skills in developing databases, spreadsheets, and data collection forms for resident care are essential.
Knowledge of common medical and psychiatric conditions in ICF-IID facilities and the medications prescribed for these conditions is important.
The ability to translate abstract regulations into concrete data collection methods is necessary.Proficiency in written and oral English communication is required.
The ability to communicate effectively with diverse individuals is essential.
Minute-taking during interdisciplinary meetings is also part of the responsibilities.
Proficiency in Microsoft Office Suite (Word, Excel, Access, and Outlook) is required for generating documentation and communication.
