Key Responsibilities

The Marketing Coordinator plays a vital role in our dynamic team, contributing to the success of Manhattan's marketing strategies and ensuring a consistent and positive brand presence in the marketplace.

As part of Manhattan's marketing division, the coordinator operates under the guidance of corporate marketing and area leadership.

The ideal candidate will work closely with leadership, business development, and technical teams to create, develop, and produce engaging proposals, presentations, and marketing materials.


Primary Duties Include:
  • Maintain scheduling and tracking systems for individual pursuits, proposal components, and statuses.
  • Assist in crafting pursuit strategies and client engagement activities prior to RFP issuance.
  • Support presentation preparation and rehearsals.
  • Adhere to electronic file organization, access, and backup protocols for all proposal documents.
  • Contribute to the development of proposals and presentations, including writing/editing content, designing layouts, creating custom graphics, tailoring resumes, and integrating schedules, with input from the marketing director, business developer, project director, and technical team.
  • Assist in producing SOQs/proposals, including editing and graphics; prepare for both digital and print formats.
  • Identify and monitor SOQ/proposal requirements to ensure compliance.
  • Manage production and coordinate timely delivery of SOQs/proposals, gathering content from team members and consultants as necessary.
  • Track pre-submittal meeting schedules and attendees, identifying key decision-makers.
  • Maintain systems for extracting, categorizing, and retrieving information related to clients, consultants, personnel, projects, previous proposals, boilerplate content, and visuals.
  • Support online presence, including social media and website management.
  • Implement and uphold brand standards.
  • Understand and comply with copyright laws and photographer usage rights.
  • Coordinate entries for awards competitions, ensuring adherence to award criteria.
  • Organize special events for the firm/company.
  • Conduct research related to clients, competitors, and relevant market experiences.
  • Coordinate final project photography, providing input on the shoot list.
Required Skills and Qualifications
  • Understanding of fundamental marketing principles.
  • Strong organizational skills and ability to multitask.
  • Attention to detail and commitment to quality.
  • Ability to collaborate effectively with diverse personalities and work styles.
  • Proficient proofreading skills.
  • Familiarity with database concepts.
  • Excellent time management skills and a sense of urgency.
  • Knowledge of software/technologies for creating client presentations and communications.
  • Proficiency in Adobe Creative Cloud (InDesign, Illustrator, Photoshop) and Microsoft Office (Excel, Word, PowerPoint).
  • Understanding of SOQ/proposal production processes, including digital and print production.
  • Enthusiasm for engaging in professional development and community-focused initiatives.
Education and Experience Requirements

An associate or bachelor's degree is recommended.

One to three years of experience in the AEC industry is preferred.
