Job Summary

The Customer Service Representative at Preston Automotive Group is responsible for delivering exceptional customer experiences. This role involves providing professional, courteous, and effective support to customers, answering calls, and assisting the management team as needed.

Key Responsibilities
  • Customer Service: Answer all incoming calls according to company policies and in a friendly, prompt, and professional manner.
  • Call Routing: Transfer phone calls to appropriate parties promptly and accurately.
  • Message Taking: Take phone messages when needed and ensure they are received by the appropriate person.
  • Scheduling: Schedule appointments as needed.
  • Customer Interaction: Greet and assist all customers in a prompt, friendly, and professional manner, and obtain a signed copy of a Power of Attorney for every customer.
  • Clerical Tasks: Perform various clerical tasks as assigned by body shop management.
  • Insurance Follow-up: Follow up with insurance companies for supplement payments and initial inspections.
  • Payment Processing: Check on all final payments and update notes in Axcessa.
  • Receipts: Upload all payments in the Receipts tab within ROME.
  • Communication: Constructively communicate with other dealership personnel as required to satisfy customer needs.
  • Reporting: Report to management any situation or condition that jeopardizes the safety, welfare, or integrity of the dealership, its personnel, or customers.
  • Personal Grooming: Maintain personal grooming, hygiene, and uniform standards according to departmental policies.
  • Work Schedule: Arrive at work, take breaks, and depart work at the times designated by management.
  • Training: Attend meetings and training courses as scheduled.
  • Work Environment: Ensure that work areas and customer waiting areas are kept clean.

  • Thoroughness and Timeliness: Thoroughness and timeliness in completing essential duties.
Requirements
  • Past Experience: Past Body Shop experience is a plus.
  • Organizational Skills: Organizational skills.
  • Active Listening: Active listening - giving full attention to what other people are saying, taking time to understand the points being made, asking questions as appropriate, and not interrupting at inappropriate times.
  • Communication Skills: Communication skills - communicate effectively with others.
