Job Title: Treatment Coordinator

Smile Design Studio is seeking a highly skilled and detail-oriented Treatment Coordinator to support our dental team in Phoenix, AZ. As a Treatment Coordinator, you will play a vital role in delivering exceptional patient care and ensuring seamless communication between patients, insurance companies, and our dental practice.

Key Responsibilities:
  • Research and analyze insurance benefits to prepare accurate estimates for treatment plans.
  • Develop a deep understanding of frequently used insurance plans to effectively communicate with patients and insurance companies.
  • Process and submit insurance claims daily, ensuring timely and accurate reimbursement.
  • Provide patients with necessary documentation and communicate with insurance companies to facilitate claim processing.
  • Coordinate financial arrangements with patients, including obtaining signed agreements and monitoring payments.
  • Prepare and deliver daily financial statements to the employer, ensuring transparency and accountability.
  • Implement effective collection systems, including first calls, letters, and follow-up communications.
  • Monitor and follow up on outstanding claims, ensuring timely resolution.
  • Utilize online tools to track patient accounts and facilitate automatic bill pay.
  • Educate patients on insurance, their responsibilities, and basic dental terminology to ensure informed decision-making.
  • Maintain a delayed treatment pipeline to re-engage patients who initially declined treatment.
  • Debrief and hand-off patients to the front desk, ensuring seamless communication and patient accountability.
  • Encourage patient referrals and provide business cards to promote quality care and word-of-mouth marketing.
  • Secure firm commitments from patients to schedule treatment, ensuring timely follow-through.
Requirements:
  • Previous experience as a Treatment Coordinator is required.
  • At least 2-4 years of dental experience, with a strong understanding of dental insurance protocols and ADA codes.
  • Previous experience with Dentrix is strongly preferred.
  • Excellent verbal and communication skills, with the ability to build strong relationships with patients, insurance companies, and dental staff.
  • Strong computer skills, including practice management software and online tools.
  • Ability to work independently and as part of a team, with a positive and supportive attitude.
  • Exceptional time-management and task-delegation skills, with a keen understanding of scheduling and financial systems.
