The Healthcare Documentation Specialist is responsible for obtaining medical records through a high volume of outbound communications with healthcare facilities and by electronically accessing various medical institutions' EMR systems. This role operates on a full-time schedule from Monday to Friday, 8 AM to 4 PM, without weekend or holiday commitments.

Key Responsibilities:

  • Demonstrates excellent telephone communication skills while making a specified number of outbound calls daily for the purpose of retrieving documents and test results. Handles incoming and outgoing calls in a professional and courteous manner.
  • Employs computer proficiency to ensure secure, HIPAA-compliant access to multiple EMR systems for the retrieval of documents.
  • Monitors and tracks clinical documentation efficiently; engages with specialist notes and diagnostic tests, including communication with specialist offices.
  • Reports and follows up on pending clinical documentation.
  • Adheres to the established EMR standards, practices, and policies within the CMR Department.
  • Provides support to the CMR department during compliance audits.
  • Performs additional duties as necessary.

Job Requirements:

  • High School diploma or equivalent.
  • Proficient computer skills, with a preference for experience in Microsoft Office and electronic health records (EHR).
  • Strong organizational and clerical skills, with a keen attention to detail.
  • Excellent written and verbal communication abilities, along with superior phone etiquette.
  • Demonstrated customer service skills.
  • Knowledgeable about HIPAA regulations.
  • Ability to work independently with minimal oversight.
  • Familiarity with medical terminology is preferred.
  • Experience with electronic medical records is advantageous.
  • Previous experience in a clinical environment is preferred.
  • Covid vaccination is required.
