Position Overview:

As a Litigation Assistant, you will operate under general supervision, executing a variety of administrative tasks for assigned attorneys and paralegals, ensuring the seamless operation of the Litigation Department. Key responsibilities include managing e-billing processes, court filings, and docketing.

Key Responsibilities:
  • Draft and transcribe legal documents, including correspondence and pleadings, utilizing both machine and shorthand transcription methods.
  • Initiate new case files, conduct conflict checks, and maintain organized records, including periodic reviews and archiving.
  • Establish and uphold calendar systems for case deadlines and meetings, utilizing a master calendar where applicable.
  • Ensure timely recording of attorney time sheets and billing entries, completing and reviewing e-billing and proforma invoices.
  • Manage attorney calendars, including scheduling appointments and meetings.
  • Process incoming and outgoing mail, ensuring timely delivery and organization.
  • Maintain positive communication with clients, attorneys, and staff while upholding confidentiality.
  • Handle administrative phone and email inquiries, greeting visitors as necessary.
  • Collaborate with administrative support staff and perform additional duties as assigned.
  • This is a full-time position, typically requiring 35 hours per week, with occasional overtime as needed.


Qualifications:
  • A minimum of two years of experience in litigation administration or assistance, particularly in insurance defense.
  • Prior experience with e-billing; familiarity with LEDES billing and Aderant is preferred.
  • Strong organizational skills with the ability to prioritize tasks effectively under time constraints.
  • Excellent interpersonal skills for effective communication with a diverse range of clients and colleagues.
  • Willingness to accept additional responsibilities beyond the standard job description.
  • Proficient in reading, writing, and typing in English to fulfill essential job functions.
  • Ability to perform basic arithmetic calculations for document verification.
