Job Summary

We are seeking a highly organized and detail-oriented Bilingual Office Administrator to join our team at Dawson. As the first point of contact for clients, vendors, and employees, you will be responsible for managing our front office and ensuring smooth operations.

Key Responsibilities
  • Greet visitors, clients, and recruits professionally and handle various administrative tasks.
  • Answer, screen, and direct incoming calls to the appropriate person or department.
  • Receive, sort, and distribute incoming mail and packages, and prepare outgoing mail.
  • Ensure the front office area is clean, organized, and presentable at all times.
  • Monitor office supply levels, place orders, and restock essential items regularly.
  • Manage meeting room calendar and bookings, ensuring proper coordination.
  • Track and log incoming leads from various sources in a timely manner.
  • Qualify leads based on business criteria and update status in the tracking system.
  • Relay qualified leads to the sales team for seamless engagement.
  • Enter lead information accurately into the company's CRM system.
  • Maintain updated office tracking spreadsheets for inventory and resources.
  • Organize and file digital and physical records for easy access.
  • Regularly audit CRM data and spreadsheets for consistency and accuracy.
  • Assist various departments with administrative tasks related to projects.
  • Help coordinate company events, including scheduling and logistics.
  • Perform miscellaneous office errands and respond to unplanned interruptions.
Requirements
  • Associate's degree, bachelor's degree, or commensurate experience in office administration.
  • Prior experience with QuickBooks or LMN is a plus.
  • 2 years' experience in Office Administration; background in the landscape industry a plus.
  • Proficiency in Microsoft Office suite (PowerPoint, Excel, Word).
  • Positive and team-oriented approach needed with a willingness to do whatever tasks that are needed to help the Dawson Team.
  • Excellent listening, verbal, and written communication skills to deliver impeccable customer service.
  • Ability to be organized, proactive, and prioritize multiple tasks both independently and with the team.
  • Strong customer service and teamwork skills.
  • Bilingual in Spanish is required.
