About the Role

This position in our Payroll Department supports HR, Legal, and the Executive Team by managing the Vista system, maintaining union records, and improving system processes.

Key Responsibilities
  1. Evaluate and enhance the utilization of the Vista system, ensuring all fields and templates are properly maintained and integrated to improve automation and reduce manual processes.
  2. Maintain a comprehensive database of union records, including CBA renewals, pay rates, and adjustments, while also managing the CBA schedule, pay rate structure, and HR/pay rules grid.
  3. Communicate CBA information across the company, manage the template audit report, and report any conflicts or system changes.
  4. Collaborate with team members to complete monthly union filings, aiming to take full responsibility for union filings and payments under supervision.
  5. Provide support to team members across various locations for Prevailing Wage activities.
  6. Manage the Supplemental Wages process and lead monthly meetings to ensure accuracy and compliance.
  7. Assist Human Resources in communicating policy issues effectively across the organization.
  8. Lead union audits, ensuring thorough preparation and execution.
  9. Ensure organized and accessible records on the shared drive for Payroll, HR, Legal, and the Executive Team.
Requirements
  • Minimum of 3-5 years of experience in multi-state and unionized Payroll environments required.
  • Bachelor's Degree in Accounting, or a related field, required.
  • Knowledge of Payroll best practices, applicable Federal and State wage, hour, and tax laws, or Fundamental Payroll Certification, preferred.
  • Prevailing Wage experience, highly desirable.
  • Microsoft Office proficiency including Word, Excel, and Outlook required.
  • Experience with Vista/Viewpoint/Trimble Products highly advantageous.
  • Proficient written and verbal English communication skills.
  • Excellent organization and customer relation skills.
  • Sharp analytical skills with the ability to identify 'why'.
  • Adherence to internal controls and maintain confidentiality and security of data.
  • Highly ethical, analytical, team-oriented, flexible, inquisitive & logical.
  • Authorized to work in the U.S.
Salary and Benefits

The estimated salary range for this position is $75,000.00 - $85,000.00 per year, depending on experience.

Travel and Work Environment

This role may require up to 10-20% travel by personal vehicle to offices throughout the state of New York and New England, based on business needs.

The job operates in a professional office environment, requiring occasional walking, bending, or standing, as necessary.
