Trauma Registrar and Administrative Assistant

The Trauma Registrar and Administrative Assistant is a dual-role position responsible for maintaining accurate trauma patient records and providing administrative support to the Trauma Services department.
Key Responsibilities- Maintains Trauma Database: Proper case selection, monitors ED logs, reports, and other electronic and paper sources to identify potential trauma cases, extracts data for all current data fields, performs diagnostic/procedure/location/injury coding, and enters performance improvement and compilation data points.
- Data Management: Assists with cleaning up data, reports discrepancies to the trauma program manager, performs inter-rater reliability, generates reports, and assists with data projects including calculations or data mining.
- TQIP: Attends webinars on TQIP education, understands and stays current with TQIP concepts, definitions, and requirements, and performs TQIP data entry when needed.
- Administrative Support: Provides administrative support to the Director and service line Managers, performs routine administrative/clerical functions, works to resolve any clerical and office workflow issues, prepares meeting agendas and minutes, and coordinates and assists in the preparation of all introductory and annual evaluations.
- Timekeeping / Payroll Support: Acts as the primary resource for payroll and timekeeping, edits and submits payroll, reviews time records and exemption/exception sheets, and monitors/analyzes employee absenteeism and leaves of absence.
- Project Management: Works independently and within a team on special non-recurring and ongoing projects, acts as project manager for special projects, and collaborates and integrates effectively with other departments and services.
- Compliance: Tracks annual requirements and tracking/reporting activities associated with Joint Commission and/or other surveys, assists in tracking and trending of data from service line results, and maintains existing policies, standard operating procedures, and contracts.
- Medical terminology
- 2-4 years healthcare experience
- Microsoft Office skills (PowerPoint, Word, Excel)
- ATSRCB certification - Trauma Society Registry Certification Board within 4 years of hire
- ICD-10 Coding Certificate
- AIS Coding Certificate
