As a prominent coastal and marine engineering firm, we operate multiple offices across Florida, catering to both private and public sector clients.
Our Coral Gables office serves as the central hub for our operations.
Key Responsibilities
Collaborate with Project Managers, Senior Accountants, and the Controller to maintain precise and current project financial reporting and documentation related to budgets, revenues, costs, invoicing, and collections throughout various project phases.
1. Initiate and manage project entries in the accounting system, ensuring alignment with contractual agreements.
2. Maintain comprehensive project documentation, including executed contracts and change orders, ensuring timely storage in SharePoint.
3. Grant access to project accounts and oversee the transfer of expenses related to these accounts.
4. Review and authorize supplier invoices and project-related charges.
5. Analyze project discrepancies and prepare variance reports for the accounting supervisor.
6. Work closely with Project Managers to address outstanding invoices.
7. Report on the remaining backlog available for projects to the accounting supervisor.
8. Finalize project accounts upon completion.
9. Compile necessary information for internal and external audits as required.
10. Provide timely financial reports, budgets, and forecasts to project managers and clients.
11. Prepare pre-billing reports for review by project managers.
12. Monitor receivable income and assist project managers with collections.
13. Set up consultants, ensuring all agreements, including Non-Disclosure agreements and Certificates of Insurance, are in place.
14. Issue invoices and manage payments to consultants, subcontractors, vendors, and suppliers.
Required Skills and Qualifications
Proficiency in Microsoft Office Suite.
Experience with accounting software such as Clearview or Deltek.
Strong organizational skills and attention to detail, capable of managing multiple tasks and interdepartmental reporting.
Ability to thrive in a fast-paced team environment; self-motivated with excellent time management skills.
Exceptional customer service skills, maintaining a positive and collaborative attitude.
Preferred Education and Experience
A 4-year degree in Accounting or a related field, coupled with 6 years of relevant experience.
Experience in cost accounting or project accounting within the Architecture, Engineering, and Construction (AEC) sector.
