Job Title: Senior Document Management Specialist

Location: Brooklyn, NY

About the Job:

SGI Global is seeking a highly skilled Document Management Analyst II to support the United States Attorney's Office (USAO) for the Eastern District of New York.

The ideal candidate will work with the Criminal Division, providing critical support to legal services including direct legal support, clerical/administrative support, automated litigation assistance, and other assigned duties.

Responsibilities:

  • Technical Legal Document Preparation: Examine, prepare, and process technical legal documents that are voluminous and complex in format. Independently determine the need for assembly and preparation of various legal documents.
  • Information Gathering and Submission: Obtain necessary information from appropriate sources and submit drafted legal documents to the assigned AUSA.
  • Responsive Document Preparation: Prepare responsive documents with limited instructions from the AUSA. Compile variable aspects of recurring legal documents in accordance with style and format rules.
  • Citation Verification: Verify citations and statutory references contained in legal documents using original and online resources. Ensure completeness and consistency with source material.
  • Organizational Support: Provide organizational support for investigative and trial teams. Assist with creation and presentation of evidence, exhibits, and documents for trials.
  • Communication Skills: Possess strong communication skills, enabling regular contact with law enforcement agencies, witnesses, opposing counsel, experts, and court personnel.
  • Deposition Transcripts and Summaries: Be able to create summaries of deposition transcripts, charts, and chronologies for Grand Jury subpoenas. Participate in witness interviews of assigned cases.
  • Travel Arrangements and Expense Reports: Organize travel arrangements for AUSAs and follow up after trips to ensure necessary receipts and documents are submitted and finalized.
  • Brief Development: Develop tables of contents and indices to briefs in accordance with established formats.
  • Case Listing: List cited cases, opinions, and miscellaneous references in briefs.
  • Ltr Composition: Compose original letters requiring good working knowledge of legal procedures and specialized terminology.
  • Written Documents and Materials: Produce a variety of written documents and materials utilizing office software applications. Transcribe audio recordings such as wire taps.
  • Formatting and Accuracy: Ensure proper format, spelling, punctuation, capitalization, and grammar.
  • File Maintenance: Establish and maintain various files. Search legal reference files for information needed by AUSAs. Separate, screen, select, assemble, and organize case files and records for disposition or transfer according to established procedures.
  • Docketing Duties: Perform docketing duties like opening, updating, and closing cases through automated case tracking systems. Search databases for required information as necessary.
  • Suspense System and Calendar Management: Maintain calendar of assigned active cases. Track filing and hearing dates. Develop and maintain suspense system for ongoing cases, informing the AUSA of pending dates and deadlines.
  • Additional Responsibilities: Perform other related duties as assigned.

Requirements:

  • Education: Bachelor's Degree or higher.
  • Experience: A minimum of 4 years' experience.
  • Agencies Experience: Experience working with other agencies (law enforcement and federal preferred).
  • Citizenship: U.S. Citizenship.
