Position Overview:

The Wellness Institute of Michigan is looking for a Billing Operations Manager responsible for overseeing all billing and collection activities within the practice. This role includes supervising a billing assistant and collaborating closely with both administrative and leadership teams. The position necessitates the establishment of professional relationships with therapists and the President/CEO to ensure that billing processes are executed accurately and efficiently, contributing to the financial stability of the organization. This is a leadership role that reports directly to the President/CEO.

Essential Qualifications:

  • Comprehensive understanding of insurance claims and payment processes.
  • Proficient in computer applications, including billing software, reporting tools, and Microsoft Office Suite.
  • Strong written and verbal communication skills.
  • Solid mathematical and accounting abilities.
  • Proven supervisory skills with the capability to train and guide team members.
  • Exceptional customer service aptitude.
  • High organizational skills with the ability to manage multiple tasks while maintaining attention to detail.
  • Effective problem-solving capabilities.
  • Current knowledge of mental health coding, compliance, and billing standards.
  • Able to integrate well with the Wellness Institute of Michigan team.

Key Responsibilities:

  • Maintain confidentiality and adhere to HIPAA guidelines, ICD-10, and DSM V standards.
  • Supervise daily cash postings, check processing, and electronic fund transfers from insurance providers and patients.
  • Ensure daily claims processing is accurate and free of errors.
  • Utilize insurance websites to verify patient eligibility and benefits, and train staff in these processes.
  • Develop, update, and implement billing policies and procedures to ensure consistency across the organization.
  • Oversee the processing of 835 files and manage claim denials or payment issues with insurance companies.
  • Assist therapists in troubleshooting claim creation issues and resolving missing encounters.
  • Balance daily deposits and manage the distribution of patient statements.
  • Address patient billing inquiries through various communication channels.
  • Generate regular reports to monitor account aging, refunds, denials, and collections.
  • Facilitate payment plans for patients when necessary.
  • Train and mentor the billing assistant to uphold the standards of the Wellness Institute of Michigan.
  • Prepare and submit financial reports to the organization's accountants.
  • Regularly meet with the President/CEO to discuss the financial status of the practice.
  • Participate in weekly leadership meetings with key organizational leaders.

Additional Responsibilities:

  • Manage employee health, vision, and dental benefits, maintaining participation records.
  • Coordinate with the employee benefits agency.
  • Assist with payroll processes as needed.
  • Support miscellaneous financial projects as required.
