Position Overview: London Approach is in search of a highly skilled and detail-oriented Senior Executive Coordinator to provide exceptional support to our executive leadership team, including Vice Presidents, C-level executives, and Directors. This position demands a proactive individual who is adept at managing both traditional executive assistant responsibilities and personal assistant tasks. The ideal candidate will possess a strong proficiency in the MS Office Suite, Outlook, and demonstrate the technical acumen necessary to assist with presentations and other technology-related tasks.

Key Responsibilities:

  • Executive Support (80-85%):
  • Oversee complex scheduling, including the arrangement of meetings, appointments, and events across various time zones.
  • Coordinate travel logistics, both domestic and international, including flight bookings, accommodations, and transportation.
  • Screen and manage phone calls, emails, and other communications, ensuring prompt responses and appropriate follow-up.
  • Draft and refine correspondence, reports, presentations, and other necessary documents.
  • Organize and maintain confidential files and records with the utmost discretion.
  • Serve as a liaison between the executive team and both internal and external stakeholders.
  • Assist in meeting preparations, including agenda development, minute-taking, and follow-up on action items.
  • Personal Assistant Duties (10-15%):
  • Manage personal errands and tasks as required, such as organizing personal appointments and reservations.
  • Support personal projects and coordinate events or travel for the executive's family or personal commitments.
  • Technical Assistance:
  • Facilitate the creation and editing of presentations, spreadsheets, and other documents utilizing the MS Office Suite, particularly PowerPoint and Excel.
  • Troubleshoot basic technical issues and liaise with IT support when necessary.
  • Stay informed about new software tools and technologies that can enhance productivity and recommend their implementation.

Qualifications:

  • Experience: A minimum of 5 years of experience supporting high-level executives (VP/C-level/Director) in a dynamic environment.
  • Technical Skills: Proficient in MS Office Suite (Word, Excel, PowerPoint) and Outlook. Tech-savvy with the capability to assist with presentation development and basic IT troubleshooting.
  • Communication: Outstanding verbal and written communication skills with a professional demeanor.
  • Organizational Skills: Exceptional organizational skills with the ability to multitask, prioritize, and manage time effectively.
  • Discretion: High level of discretion and confidentiality in managing sensitive information.
  • Adaptability: Ability to adjust to changing priorities and perform well under pressure.
  • Attention to Detail: Strong attention to detail with a commitment to accuracy and quality.

Preferred Qualifications:

  • Experience in a similar role within a technology-focused or rapidly growing organization.
  • Familiarity with project management software or tools.
  • Experience managing both professional and personal tasks for senior executives.
