Typical Responsibilities:

Support the Curator, Registrar, and Preparator in all facets of collection management and exhibition organization, which includes identifying potential loans, managing loan correspondence, data entry, image digitization, generating checklists and reports, and compiling installation requirements and restrictions.

Ensure adherence to exhibition planning timelines.

Collaborate with the Curator and Marketing team on exhibition-related publications by sourcing images, obtaining copyright permissions, conducting research as directed, and verifying text accuracy.

Assist the Curator in crafting exhibition-related educational materials, including object labels and wall texts.

Prepare reports and presentations for potential acquisitions for the Permanent Collection; provide necessary information to the Registrar and liaise with donors and galleries as required.

In case of an emergency, this role may necessitate performing specific job-related tasks at an alternate location.


Required Qualifications:

Candidates must possess either (a) a Master's degree from an accredited institution in a relevant field; (b) a Bachelor's degree in a related area with two years of relevant experience; or (c) six years of direct experience in a related role.


General Description / Primary Purpose:

The Exhibition Coordination Assistant, under the supervision of a Curator or senior staff, is essential in developing and executing the museum's exhibition program.

This position aids in the preservation and enhancement of the institution's collection and collaborates with various departments to ensure effective communication related to the Curatorial Department.


Job Function:
Assist the Curator with all aspects of exhibition organization and collection upkeep.

This encompasses organizing and adhering to exhibition planning timelines, managing lender and artist communications, exhibition design, generating departmental reports, and maintaining departmental records.

Collaborate with the Curator and Marketing team on exhibition-related publications by sourcing images, securing copyright permissions, conducting research, and overseeing the distribution of catalogues to lenders.

Assist the Curator in drafting exhibition-related educational materials, including object labels and wall texts.

Prepare reports and presentations for various purposes, including training docents and proposing new exhibitions and acquisitions.

In case of an emergency, this role may require performing specific job-related tasks at an alternate location.


Marginal Functions:
Maintain a thorough understanding of the Museum's policies, procedures, educational practices, and ideologies. Uphold the Museum's collection and exhibition standards. Provide limited supervision to docents, curatorial volunteers, and interns on their assigned projects as necessary. Participate in Public Programs and Community Outreach as needed.

The incumbent develops procedures for executing a variety of complex tasks within established guidelines, enjoying considerable autonomy while work is in progress and receiving instructions for new assignments.

This position contributes to the conception and guidance of exhibitions that illuminate and enhance understanding of specific works, artists, movements, cultures, or historical moments in art history.

This role interprets exhibition strategies and museum accreditation standards as outlined by relevant professional organizations. The Exhibition Coordination Assistant interacts frequently with museum patrons, board members, donors, and media representatives. This position evaluates the proprietary nature of early exhibition strategies to determine the appropriateness of confidentiality.

Departmental Requirements:
Experience in 20th and 21st-century art, exhibition curation, and artist project direction.
Recent scholarly contributions in modern and contemporary art, particularly in public programming and publications.
Strong research, writing, and public presentation skills.
Demonstrated administrative and managerial capabilities.
Experience in leading and managing staff and volunteers.
Excellent organizational and time management skills, with the ability to work independently and manage multiple projects concurrently.
Experience collaborating with the development team on grant and sponsorship proposals.

Proficient in computer applications, including recent versions of Microsoft Office (Word, Excel, and Outlook) and relational databases.

Maintains confidentiality regarding museum strategies and operations as appropriate.
