Position Overview
The U.S. Courts for the Western District of Texas is currently seeking an Administrative Support Specialist. This role is essential in providing technical, administrative, and clerical assistance to probation officers and their assistants across various functions. The ideal candidate will be a highly organized self-starter capable of managing multiple tasks and deadlines in a dynamic work environment. Maintaining confidentiality is crucial for this position.
Key Responsibilities
- Act as the first point of contact by welcoming visitors and callers, addressing routine inquiries, providing authorized assistance, and directing individuals to the correct department or personnel. Handle duty calls and perform general office tasks.
- Guide individuals under supervision on the procedures for completing necessary forms and obtaining authorizations.
- Conduct data entry with precision and promptness, perform records research and retrieval via phone or mail to gather required documentation, manage supervision case records, utilize case tracking systems, and maintain confidentiality of all records.
- Operate local/state law enforcement information retrieval systems and Criminal Justice Information System (CJIS) terminals to gather criminal history information and distribute it to the appropriate parties. Submit relevant documents electronically to the Bureau of Prisons and Sentencing Commission as directed by probation officers.
- Manage computerized records, including opening, closing, researching, and updating information in the Probation Automated Case Tracking Systems (PACTS). Extract data from databases and generate periodic reports.
- Review presentence reports prepared by officers for formatting and typographical accuracy.
- Perform additional support-related tasks as assigned.
- A high school diploma or equivalent is required. A bachelor's degree from an accredited institution in fields such as criminal justice, criminology, psychology, sociology, human relations, or business/public administration is preferred.
- Two years of progressively responsible clerical or office experience that demonstrates the ability to acquire the necessary knowledge and skills for this role. Relevant experience may include work in probation and pretrial services offices, law firms, legal counsel offices, banking institutions, educational settings, or social service organizations.
- Proficient computer and typing skills.
- Strong written and verbal communication abilities.
- Excellent organizational capabilities.
- Ability to manage multiple demands in a fast-paced environment.
- Experience working with diverse populations.
- Professional demeanor and presence.
- Fluency in English; Spanish proficiency is preferred.
