Position: Full Time - Weekend Flight Coordinator
Latitude 33 Aviation LLC is seeking a dedicated individual with a strong interest in aviation and exceptional attention to detail to fill an entry-level role in Trip Support. The primary responsibilities encompass organizing logistics and accommodations for clients, aircraft owners, and crew prior to scheduled flights, while also providing continuous support for ongoing missions. This dynamic position requires a collaborative team player who can effectively manage multiple tasks while maintaining professionalism and focus.
Key Responsibilities:
- Prepare daily trip sheets for each aircraft movement, including notifications to Fixed Base Operators (FBOs), selecting optimal contract fuel providers, and confirming catering and ground transportation services for clients.
- Coordinate in-flight catering, ground transportation, rental cars, accommodations, and any special requests for clients.
- Provide real-time trip support to crew and clients, including updates on delays and diversions, as well as flight tracking information.
- Arrange travel logistics for crew members, including airlines, rental cars, and accommodations.
- Collaborate with flight crews to prepare for adverse weather conditions and airport closures.
- Conduct preflight briefings with crew for each Part 135 Charter flight.
- Manage international flight arrangements, including:
- Coordinating international departures and arrivals with the appropriate Customs and Border Protection office.
- Inputting crew and passenger information into the Electronic Advanced Passenger Information system and assisting crew members with filing.
- Confirming handling services with international providers and sending necessary documentation for aircraft, crew, and passengers.
Essential Skills and Qualifications:
Strong communication and customer service skills are essential for effective interaction with crew members, office staff, management, clients, and aircraft owners.
Additional requirements include:
- Professional demeanor and appearance.
- Exceptional organizational skills and the ability to multitask under pressure.
- Fluency in reading, writing, and speaking English.
- Proficiency in MS Office applications.
Education and Experience: Some college education is preferred. Experience in aviation is advantageous but not mandatory. Relevant work experience in logistics or customer service will be considered.
Work Schedule: Shifts are 8 hours long, scheduled between 7:00 AM and 6:00 PM. Weekend availability is essential, and holiday work is required with appropriate compensation.
Work Environment: This position is not remote. It involves working in an office and airport operations setting, which includes both independent and collaborative tasks, frequent interruptions, and computer-based work.
Compensation: Hourly pay with accrued paid time off.
