The Fleet Administrator plays a crucial role in supporting the Fleet Department by executing various administrative tasks. This includes crafting and typing official correspondence, generating reports, and managing other forms of written communication. The role also involves participating in several administrative functions such as creating complex spreadsheet reports, handling accounts payable, and processing journal entries.

Key Responsibilities of the Fleet Administrator:

  • Compile and prepare confidential departmental reports as directed by management, gathering data and formatting it into both standard and customized layouts, then printing, proofreading, and distributing to relevant personnel.
  • Assist with vehicle registrations, licensing, and compliance with DMV regulations.
  • Support the administration of the fuel tracking system and monitor employee fuel usage reports.
  • Oversee the management of rental equipment, including allocation to various projects for daily cost assessments.
  • Assist in the coordination of equipment rentals and the management of shop inventory.
  • Process purchase orders for shop supplies and equipment rentals efficiently.
  • Provide support in various areas as needed and contribute to special projects as required.

Qualifications and Skills Required:

  • High school diploma or equivalent; or one to three years of relevant experience and/or training; or a combination of education and experience.
  • Bilingual in Spanish is advantageous but not mandatory.
  • Intermediate proficiency in Microsoft Excel, including knowledge of basic formulas, VLOOKUP, and Pivot Tables.
  • Familiarity with software such as Sage/Timberline, Paperless, and/or Fleetio is beneficial.
  • Ability to adapt to changes in the work environment while managing competing demands and unexpected challenges in a fast-paced setting.
